We recognize the land and waters that have inspired our work and offer gratitude to those Indigenous peoples on whose territory we work, live and play.About the RoleCanadian Blood Services is seeking a regular full-Time Executive Assistant, Divisional Operations Support to become a key member of our dynamic Supply Chain division.At Canadian Blood Services, our Supply Chain team is central to our business strategy, overseeing all aspects of production, distribution, and logistics. We emphasize integrated planning, process management, and operational excellence to support our mission of achieving exceptional customer order fulfillment and driving end-to-end supply chain success.In this role, reporting directly to the Vice President, Supply Chain, you will play a crucial part in ensuring the effective operation of the division through a diverse range of administrative and operational responsibilities. You will be entrusted with managing the VP's office, where you will exercise a high degree of judgment, independence, and professionalism. Your role will involve providing comprehensive administrative and program support to the senior leadership team, coordinating core divisional meetings, maintaining workplans, reporting on divisional goals, and scheduling town halls. Additionally, you will oversee the logistical elements of important corporate events, including executive retreats and senior leadership meetings.This position requires close collaboration with leaders on the Executive Management Team (EMT) and support for the Vice President’s interactions with the Board of Directors. Ensuring excellent communication and fostering strong relationships with key external and internal stakeholders will be central to your success in this role, along with managing timely reviews and approvals in alignment with Canadian Blood Services policies and document management standards.Formula for successUtilizing your skills in administrative coordination and executive support, you will ensure the effective functioning of the office of the VP by managing calendars, coordinating travel, and overseeing internal protocols and administrative procedures for the executive office.Applying your skills in communication and document preparation, you will prepare, compose, edit, and proofread correspondence, materials, briefing notes, and presentations based on the requirements and discussions with the vice-president.Drawing on your skills in relationship management and stakeholder engagement, you will establish and maintain effective working relationships with members of the divisional leadership team, EMT, Board of Directors, and both external and internal stakeholders.Leveraging your skills in strategic advising and collaboration, you will assist and advise the vice-president in managing and coordinating activities with members of EMT, the Board of Directors, the Alliance of Blood Operators, consulting firms, and other key stakeholders.Employing your skills in project support and team collaboration, you will support members of the division leadership team in executing divisional projects and activities as needed.Drawing upon your skills in program development and team collaboration, you will participate as a team member in the development and delivery of a variety of divisional programs, projects, and processes.Bringing your skills in logistical planning and event management to the role, you will provide logistical support for large-scale corporate program events.Applying your skills in flexibility and problem-solving, you will perform other related duties as required.Desired education and skillsPost-secondary education in Business Administration, Communications, Office Administration, or related field.Proven ability to independently plan, schedule, and organize multiple concurrent work assignments while balancing major tasks and projects.Exceptional interpersonal, oral communication, and relationship management skills, with the ability to act with care, tact, and assertiveness.Outstanding written communication skills, including the ability to develop clear, concise reports, and expertise in proofreading and editing documents.Demonstrated expertise in problem-solving by gathering relevant information, analyzing situations, and determining appropriate solutions.Experience working with Boards, senior governance committees, and key stakeholders, with a strong understanding of cyclical planning, review, and reporting requirements.Adept at seeing the big picture, anticipating potential problems, and coordinating effective responses to achieve divisional goals.Strong proficiency with Microsoft Office Suite and familiarity with key corporate applications such as SAP and Clearpoint, with an understanding of project management tools and techniques.What we offer you4 weeks' vacation.Annual performance award up to 6%.Comprehensive group health, dental and vision benefits for you and your family.Defined benefit pension plan.Employee discounts, wellness program, professional resources.What you can expectThis role will work in a hybrid environment with requirements to be onsite at Canadian Blood Services location 40% of the time/ 2 days of the week, this requirement may vary depending upon circumstances.This role may require travel up to 20-30% or less of the time to support the VP, which may vary depending on business needs.Diversity and inclusion play a vital role in ensuring health equity for patients across Canada.
