This include driving employee experience and career development across the Marketing organization through various programming, communications, events, developmental resources, and opportunities.Your RoleAs a Marketing Administrative Assistant within the CMO Office, you will be responsible for providing high quality executive support to North America based Marketing leaders. In addition to this, you will provide wider team support such as coordinating departmental and cross-functional events and initiatives, and maintaining/ updating useful team resources.You Will Be Responsible For:Executive SupportProvide administrative support to agreed Marketing leaders, including strategic, complex calendar management based on an understanding of key priorities and objectives.Arrange and coordinate travel and expenses for agreed Marketing leaders. Ensure all policies are followed and items are processed within provided guidelines.Coordinate and facilitate internal meetings including capturing agendas, minutes/ actions, speaker prep sessions, meeting room/conferencing scheduling, meal ordering for meetings, etc. for agreed Marketing leadersHandle external visitor process for CMO and leadership teams including adding to visitor log, designating greeter onsite, any other requests with building management or technology along with parking permits/validations.Work closely with other Executive Assistants in Marketing ensuring close alignment and collaboration on leadership team support.Manage in-office logistics, including seating charts and reservations, and equipment requests (where applicable).Team & Department SupportResponsible for logistics and coordination of all-Marketing Meetings including Invites, replays, and agenda development (town halls, speaker series, all hands, cross-functional sessions, etc.).Develop marketing communications in line with brand guidelinesSupport, develop and maintain an internal SharePoint site as a comprehensive resource for the marketing teamSupport Marketing Leadership Team and CMO Office with department or cross-functional initiatives as and when necessary (e.g. L&D program support)The Experience You Bring:Proven experience providing executive supportTact and good judgment in confidential situations, and proven experience interacting with senior managementStrong ability to build relationship and collaborate in a clear and transparent mannerStrong organisational and time management skills, with the ability to work under pressure to meet deadlines, multitask and prioritise effectively.Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint) and other relevant tools.Strong written and verbal communication skills with an eye for detailPositive can-do attitude, team player and willingness to learnPlease note, this role provides a base salary of up to $48,000 CAD which is dependent upon the qualifications, skills and experience of the selected candidate.
