HR Officer - Job Description
Payscale: HAY 7, points 14 to 25 (£28,551 to £34,741 FTE)

Hours: 52 Weeks

Line Managed by: HR and Operations Director


The HR Officer is an integral member of the Operations team, providing day to day confidential and
professional HR support and Administration to the staff and school leadership team.

The core aspects of the role centre around:

  • Leading staff selection and recruitment processes
  • Onboarding of new staff
  • Monitoring staff attendance
  • Maintaining employee records
  • Supporting with the upkeep of the single central record
  • Day to day HR support, advice and guidance for school staff
  • HR data management
  • Reporting, compliance and general HR administration
  • Supporting the continual development of HR processes and communications

Key Responsibilities

Operations team member:

  • To be a positive, enthusiastic member of the school operations team supporting the drive to
provide the best for staff and students in the school
  • To actively promote the safety and welfare of our children and young people
  • Be flexible within the broad remit of the post.
  • To attend school events as required
  • To assist in school emergencies as required, including locating relevant staff, contacting
emergency services and completing necessary documentation.
  • To attend relevant meetings and training sessions,
  • To be responsible for own self-development and keeping abreast of relevant information to
support that development and that of the wider department.
  • To keep abreast of improvements and changes in fields relevant to role and communicate to

staff as required

Staff recruitment:

  • To lead on the organisation and communications process around staff recruitment
  • To advertise and circulate staff vacancies
  • To research and develop a network of advertising opportunities particularly around

improving the reach to diverse communities

  • To maintain the school website and external advertising spaces in relation to school
vacancies
  • To be the main point of contact and communications for applications to school staff posts
  • To lead on timelines and organisation for advertising, shortlisting and interviewing processes
including informing and requesting information from Senior Leaders
  • Maintaining up to date recruitment documentation and the recruitment oversight sheet
including arranging updates as required
  • Organising schedules for interview processes, including inviting and informing candidates.
  • Overseeing all aspects of recruitment interviews and task including ensuring relevant staff
are informed of and provide information around panels, tasks and interview questions
  • Acting as the recruitment lead on the day of interviews.
  • Monitoring, storing and disposing of documentation related to recruitment including
following GDPR expectations
  • Ensuring that Safer recruitment processes are followed at all times
  • To ensure effective communication around recruitment to the Headteacher and HR Director


Staff records and administration:

  • To have full oversight of, and complete, onboarding of all new staff, including all checks,
references, medicals, Right to work, DBS and Teacher regulation.
  • To support the HR director in design and delivering an effective induction process for all new
staff
  • To support the HR Director in implementing all Trust and school policies relating to Human
Resources , ensuring that all statutory and legal requirements are followed.
  • To monitor staff attendance including identification of triggers and occupational health
referrals.
  • Maintaining employee records including legal requirements and ensuring staff files up to
date.
  • Maintaining the Single Central Record and ensuring it meets all statutory and legal
requirements
  • To maintain HR databases, staff files and organisation of the HR google drive.
  • To complete any appropriate HR administration tasks as directed by the HR Director and

Headteacher

HR Support: To act as the day to day face of HR to school staff including arranging 1 to 1 appointments,

drop ins and support for individuals as needed
  • To act as the key link in signposting staff to relevant services and support in relation to
school and personal HR matters
  • To inform the HR Director of staff queries, concern and opportunities in order to maintain
strong ongoing support for all staff
  • To stay up to date on the latest guidance and information in order to support staff
effectively.
  • To be responsible for Maternity and Paternity leave administration
  • To support the Headteacher and HR DIrector in organising staff 1 to 1 meetings including
‘stay meetings’ to support longer term staff wellbeing.
  • To support the HR Director in developing and implementing an effective staff retention
framework
  • To ensure compliance with Trust’s data protection rules and procedures
  • To support the HR Director and Headteacher in reviewing and revising HR processes and

methods to ensure equality, diversity and inclusion is embedded in the school’s approach.

General

  • To actively promote the safety and welfare of our children and young people

  • To ensure that all staff in the reception team are appropriately engaged and proactive on a
daily basis.
  • To attend school events as required
  • To lead on assisting in school emergencies as required, including locating relevant staff,

  • To be responsible for own self-development and keeping abreast of relevant information to
support that development and that of the wider department.

  • To work with Trust central team and other schools in the Trust network, to establish good

practice throughout the network

Person Specification

Qualifications Good general standard of education with qualifications to at least GCSE level with 5 A-Cs including

maths and English

  • A Level or equivalent standard (Desirable)
  • HR Qualifications (Desirable)
Knowledge, Skills and Experience Experience of working as in HR and/or Administrator
  • Experience of working in a school environment (desirable)
  • Knowledge or understanding of secondary school procedures and policies
  • Understanding of HR Systems and Procedures
  • Knowledge of a school’s management information system
  • Knowledge of Recruitment process and organistaion
  • Knowledge of working with Websites and External advertising groups
  • High level of IT skills and willingness to learn new systems (Google, Intermediate Word, Excel,

Microsoft Outlook, Powerpoint,)

  • Outstanding written and oral communication skills
  • Good communication and interpersonal skills when working with staff
  • High level of personal organisation, and the ability to work without close supervision
  • Calm, confident attitude
  • Positive role model

  • High level of accuracy and attention to detail
