Department Summary

The University of Oregon’s art museum, The Jordan Schnitzer Museum of Art (JSMA), opened its doors to the public in 1933. Designed by Ellis F. Lawrence, UO Dean of Architecture & Allied Arts at the time, the museum was built to house the Murray Warner Collection of Oriental Art—more than 3,700 works of art given to the University of Oregon by Gertrude Bass Warner. After a major renovation and expansion, the museum reopened in 2005 at 70,000 square feet, twice the original size. Over 20,000 square feet are dedicated to museum exhibitions and related programs serving the academic university and community at large.

The only academic art museum in Oregon accredited by the American Alliance of Museums, the Jordan Schnitzer Museum of Art (JSMA) features engaging exhibitions, significant collections of historic and contemporary art, and exciting educational programs that support the university’s academic mission and the diverse interests of its off-campus communities. The collection consists of 17,000+ works of art across all media with extensive holdings in Asian art (Chinese, Japanese, and Korean), Pacific Northwest art, Russian icons, European and American modern and contemporary art, and growing strength in Latin American art. Special exhibitions galleries display works from the collection and works on loan, representing many cultures of the world, past and present. The JSMA continues a long tradition of bridging international cultures and offers a welcoming destination for discovery and education centered on artistic expression that deepens the appreciation and understanding of the human condition.

Position Summary

The Assistant Museum Registrar coordinates and executes a wide variety of museum registration duties in support of museum services. Duties may include managing access to the permanent collection, coordinating exhibition installation and de-installation, preparing and processing incoming and outgoing loans and exhibition contracts, and planning and monitoring domestic and international loan items. This position is also responsible to coordinate loan objects in transit to and from the JSMA, including shipping, packing, unpacking, transport, and documentation. This involves working with lenders, fine art shippers, museum and other institution staff to coordinate international loan and exhibition shipping details.

The Assistant Museum Registrar undertakes a wide variety of assigned museum projects from set-up to completion and makes determinations with minimal guidance from a supervisor. This position researches, collects data, compiles information, and prepares documents, schedules, and plans associated with Museum loans, exhibitions, curricular uses, and displays. This position also develops procedures, systems, and forms to ensure efficient workflow in compliance with program policies and guidelines. The Assistant Museum Registrar may provide formal training or workshops on museum rules, regulations, processes, procedures, and compliance, and may provide oversight to student volunteers and interns.

Additional Expectations of Position
  • This position will require a valid driver’s license and the ability to obtain UO Driver’s Certification.
  • Valid passport (or ability to obtain one) required. Occasional travel and couriering of artwork in U.S. and abroad.

Minimum Requirements

  • Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR

  • An equivalent combination of training and experience.

One year of postsecondary education may be substituted for up to one year of the experience.

Professional Competencies

  • Advanced proficiency in multiple fine art museum-specific computer applications, e.g., Mimsy XG, database applications (Access, Filemaker) content management systems, Crystal Reports, Lightroom.
  • In-depth knowledge of specialty area(s) including original cataloging of fine art, shipping and crating of fine art, exhibition coordination and planning, and property loan contracts.
  • Ability to communicate and work effectively with individuals from diverse backgrounds and cultures.
  • Commitment to and experience with promoting and enhancing diversity and equity.

Preferred Qualifications

  • MA degree in Art History, Arts and Administration, or a closely related field.
  • Two years of responsible museum Registrar experience.
  • Experience complying with State, Federal or other large institutional policies and procedures.
  • Experience with complex information structures and online publication of museum information from a software platform (Content Management Systems, Digital Asset Management Systems, and other information systems).
