We are looking to expand our Administration Team and are seeking enthusiastic, motivated people to join our friendly Practice who are committed to assist in providing the highest quality of care to our patients
You must have good oral and written communication skills, and knowledge of general office duties. General Practice experience is desirable but not a necessity; you should have a desire to develop your skills.
You will join the Administration Team to support the Clinical Staff of Hawkhill Medical Centre. Please see job description for other requirements.

Week 1 – 08:00 – 16:30

JOB DESCRIPTION
Job Title: Administrative Assistant
Reports to: Practice Manager
Hours: 37-hours (full-time) – Monday to Friday (Rolling Rota)
The post holder’s hours will be during the times when Hawkhill Medical Centre is open; 8.00am to 6.00pm, Monday to Friday. These hours may be subject to alteration by prior consultation. The post holder may also be asked to change starting or finishing times to cover sickness and holidays when necessary.
Job Summary: To provide administrative support and services to all members of the Practice Team.
Job Responsibilities: Will include the following and depending on the post holder’s skills, duties may be allocated to individuals.
- Ensure all GP and Hospital correspondence is scanned and filed in relevant patient’s computerised records
- Ensure all clinical records, including computerised records, are returned to Practitioner Services for any patients who are deceased, removed or transferred out from Practice List
- Ensure New Patient Registration and Change of address forms are completed correctly and input on to database where required
- Assist with production of repeat prescriptions in accordance with Practice Policy
- Assist with the input of accurate data on the Practice database in accordance with Practice Policy – e.g. summarising of medical records
- Take calls from patients concerning appointments, home visits, enquires, messages for clinical staff
- Provide Reception services at the front desk including enquiries and minor complaints
- Arrange future appointments for patients
- Advise GPs, Nurses and other Clinicians and Therapists of any cancelled or rescheduled appointments or DNA (did not attend)
- Accept patient requests for repeat prescriptions and issue previously ordered prescriptions to patients
- Assist with a neat and orderly filing system
- Record details of all mail sent out from Hawkhill Medical Centre and take mailbags to the Post Office
- The post holder will from time-to-time be required to perform duties other than those given in the Job Description for the post. The particular duties and responsibilities attached to the post may vary from time-to-time without changing the character of the duties or the level of responsibility entailed.

· In the performance of the duties outline in this Job Description, the post holder may have access to confidential information relating to patients and their carers, Practice Staff and other Health Care Workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential
· Information relating to patients, carers, colleagues, other health care workers or the business of the Practice may only be divulged to authorised persons in accordance with Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

The post holder will assist in promoting and maintaining their own and others’ health , safety and security as defined in the Practice Health & Safety Policy, the Practice Health & Safety Manual, and the Practice Infection Control Policy and published procedures. This will include:
- Using personal security systems within the workplace according to Practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a ways that manages risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Actively reporting health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
- Undertaking periodic infection control training (minimum annually)
