Document Controller / Site Administrator
Galashiels
We are currently recruiting for a site based Administrator to provide a consistent and timeous service to contract teams by ensuring that project information / documentation is captured within the corporate Electronic Document Management System (EDMS) for ease of retrieval by site teams.
What you will be doing:
- Working with the Project Manager and site team to fulfil all secretarial and organisational support.
- Document control of all incoming information and electronically file all site generated paperwork.
- Ensure all site registers are up to date and complete.
- Ensure the site drawing folders / rack are up to date.
- Understanding, working and filing to the BMS procedures.
- Day to day BMS admin management – paper and electronic.
- Maintain register of visitors and issue access passes as necessary.
- Educate sub-contractors on using the electronic data management system
- Run a daily Design Information report for the project team to review.
- Run a weekly overdue report and raise with the project team.
- Ensure design information is reviewed by the project team in a timely manner
- Manage and maintain RFI’s on the system
- CCS and record keeping
- Printing, scanning, post, laminating site signage, photocopying, typing meeting minutes
- Ensure information is communicated via Notification Transmittals
- Organising meeting rooms, teas, coffees, lunches
- Maintaining / ordering office stationary
- Be the central point of contact for all site project team members
About You:
- IT literate – Office 365 preferable
- Previous experience using Viewpoint and Oracle is preferred
- Ability to work accurately under pressure to meet project targetsite
- Great attention to detail
- Knowledge and understanding of site administration at operational level is vital
- Knowledge and experience of using an electronic data management system is essential.
