The Role:
ForgeRock is seeking an Executive Assistant to support EMEA Sales & Services. The role will be reporting to the SVP, Sales Engineering & Go-to-Market Programs and will be responsible for Executive Assistant(EA) duties to support the EMEA Sales Leadership team , the EVP Global Services, and SVP Support.
The individual in this role will demonstrate the ability to juggle many competing priorities and maintain poise under pressure. The individual will be interfacing with everyone from our global colleagues to vendors to high-profile clients. Excellent interpersonal skills, a proactive approach to problem-solving, and the ability to work collaboratively alongside staff and management of all levels is essential.
Responsibilities:
- Manage multiple calendars and appointments with an understanding of business and functional priorities
- Anticipate and coordinate executive travel needs (international and domestic) as well as processing expenses
- Own regional team meetings & events including invites, logistics,communications.
- Own processing of purchase orders for the department expenditures
- Facilitate in and participate in various staff meetings to support agenda development and action item follow up
- Arrange team events, including on/offsite meetings, special events, and departmental functions, including the preparation of materials, logistics, and catering requirements
- Ability to travel from time to time to assist with in person meetings for event coordination and logistics
- Additional special projects as assigned
Required Skills & Qualifications:
- 8+ years of experience in administrative support to C-Level Executives
- Experience in supporting sales leadership teams and events
- Computer savvy. Comfortable with Google suite and Drive, Slack, travel booking systems (we use Egencia), expense reporting (we use Expensify), purchase order systems (we use NetSuite) spreadsheets, calendar maintenance, web meetings (Google Meet and Zoom), researching online, and simple troubleshooting of audio-visual systems
- Extremely motivated and performance-driven individual.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive material
- Strong ability to multitask while prioritising responsibilities.
- Highly organised and detail-oriented.
- Strong experience with booking meetings across many diverse time zones with a global team.
- Strong experience booking travel and meetings
- Excellent organisational skills to ensure nothing slips through the cracks
- Excellent written, phone, and face-to-face communications
- Able to build strong relationships and create a welcoming and productive business environment
- Bachelor's Degree preferred or equivalent experience in a fast-paced office environment
