An opportunity has arisen for an enthusiastic and highly motivated person to work closely with the Oncology Day Unit managers and nursing teams.
The Oncology Day Unit is looking to recruit an experienced secretary who can provide secretarial assistance to the Day Unit Managers. The secretary will provide support to the Unit Managers and Lead Oncology Day Unit Secretary updating Health Roster, ESR, admin support. You will also be responsible for managing diaries, producing documents for staff such as HR letters and minute-taking meetings.
The secretary will ensure staff are aware of outstanding mandatory training and ensure staff adhere to completion as part of the Trust policy.
The secretaries will liaise with Human Resources advisor to arrange meetings when required and provide admin support to ensure all relevant letters are typed up and shared with the unit managers prior to sending out.
You will also be required to arrange travel & accommodation on occasion for Day Unit Managers and other designated staff members as required.
The postholder will be required to travel between all Trust sites on a regular basis, supporting the Day Unit Managers.
This post is for 24 hours to be worked over 4 days between Monday and Friday.
- To provide a comprehensive administrative support to the Oncology Day Unit; staff, patients and visitors.
- To provide secretarial support to the Oncology Day unit nursing staff. This will include managing Health Roster, ESR, Therefore, updating risk assessments, preparing HR meeting and typing up invite and outcome letters.
- To facilitate good communication with other wards and departments involved in patient care or ward/departmental functioning
- To provide a reception service on an ad-hoc basis covering as and when required for sickness and leave, acting as first point of contact.
- To support the ODU Manager and nursing staff to ensure the efficient and timely delivery of care to a wide variety of cancer patients and their families.
- To ensure clear channels of communication are maintained within the multi-disciplinary team and that the patient is kept well informed.

- Responsible to Lead Secretary.
- Act up in absence of Lead Secretary for periods of annual leave/short-term sickness absence.
- Provide comprehensive secretarial service to Day Unit Managers and their teams.
- Manage diaries, arrange/minute meetings, communication with GPs & patients.
- Advanced typing & transcription of clinical & non-clinical documents (OCR 3 or equivalent qualification/experience).
- Support effective utilisation of OP clinic capacity.
- Support management of all patient journeys including target administration e.g. GP referrals, 18 week RTT, & Cancer 2ww
- Resource management – ordering of supplies & equipment.
