We have an opportunity for an Administrative Coordinator to join and support our Review Division and Issue Resolution Office. Reporting to the Chief Review Officer, you’ll be responsible for performing diverse secretarial and administrative support duties that require accuracy and attention to detail.In this role, you’ll use a high level of discretion and tact in handling confidential and sensitive information. If you have administrative experience supporting executive level operations, proficiency in Microsoft applications, exceptional customer service, effective organizational skills, and can execute a high level of professionalism and confidentiality, consider applying for this exciting opportunity.How you’ll make a difference: You’ll help ensure WorkSafeBC engages with B.C. workers and employers in a fair and consistent way.Where you’ll workAt WorkSafeBC, we offer a model that combines the convenience of working remotely with the dynamism of working in one of our offices, based on the operational needs of the position.In this role, you’ll work primarily from our Richmond office a minimum of three times per week and have some flexibility to work from your home in B.C.What you'll doManage the Chief Review Officer’s day-to-day business, including monitoring, preparing, and maintaining the Chief Review Officer’s schedule and delegation appointments under the Workers Compensation Act, arranging meetings, updating and maintaining Review Division web materials, and liaising with other departments on Review Division and Issue Resolution Office work as requiredReview, format and publish all decisions under the authority of the Chief Review Officer, and coordinate publishing of completed Review Division decisions on our websiteCoordinate all divisional meetings and all oral hearings for Review OfficersSupport the Review Division’s Quality Assurance team on organizing Review Officer training and assisting in the preparation and dissemination of training materialsUpdate and publish the Review Division’s Practices and Procedures Manual as requiredCo-ordinate the set up of the Summer Intern program, running from May to September each year, working with the Quality Assurance director and Intern managerReceive and distribute correspondence and prioritize items to meet deadlines, ensure security of confidential items, and prepare written responses when appropriateOrganize, prepare, and distribute material for divisional or stakeholder meetings, act as recording secretary when required, review minutes and ensure quality control of the formatOther administrative duties including preparing complex and confidential reports, preparing and distributing the quarterly divisional newsletter, as well as coordinating office supplies and I&T and procurement ordersRepresent the Review Division and Issue Resolution Office team in a professional manner when communicating with stakeholders, committees, and government agenciesIs this a good fit for you?We’re looking for someone who can:Lead by example, exhibiting strong interpersonal skills and a high level of professionalismRotate through a variety of tasks and responsibilitiesExercise discretion, tact, and judgment in handling confidential and sensitive informationMeet deadlines in a high-volume, multi-tasking, client-focused environment with a strong attention to detailsCommunicate effectively, both orally and in writing, to deliver information in a professional manner, using excellent grammar and spellingTake initiative and use critical thinking skills when tackling complex mattersAdapt, be flexible and learn quicklyYour background and experienceCompletion of grade 12 and post-secondary education is an assetA minimum of 3 years of administrative experience supporting senior management and/or Director level operationsProficiency with Microsoft Word, Excel, PowerPoint, and SharepointExperience working in WorkSafeBC systems is an assetWe’ll consider an equivalent combination of education and experience.Important to knowBefore we can finalize any offer of employment, you must:Confirm you’re legally entitled to work in CanadaWorkSafeBC’s COVID-19 Employee Mandatory Vaccine Policy (the “Policy”) is suspended effective January 9, 2023, however we reserve the right to re-implement it in response to changes in the public health landscape, including public health orders.
