Expansion Projects Administrative Coordinator, School of Rehabilitation SciencesThe School of Rehabilitation Science is going through a significant amount of growth, expanding their Master of Physical Therapy Program by 15 students and introducing two new programs, a Master of Occupational Therapy (OT) and a Master of Speech-Language Pathology (SLP) with 40 students each, to the Province.Primary Purpose: The purpose of this position is to provide support to and assist with the development of two new academic programs within the School of Rehab Science (SRS). The Administrative Coordinator's responsibilities encompass administrative, organizational, communication, planning, and problem-solving tasks, ensuring smooth implementation of SRS expansions.The successful candidate requires high-level abilities in balancing complex, strategic, operational, confidential, and competing priorities, supporting the OT/SLP Academic Program Development Working Group and the SRS to succeed in delivering several simultaneous expansion projects. You will act as the first contact point, responding to or coordinating a wide range of internal and external key stakeholders, and be a key member of the internal strategic operation of the Working Group.Nature of Work: Reporting to the Director of the SRS and working closely with the OT/SLP Academic Program Development Working Group and MPT Program Coordinator, this position will be integral to these programs' success. A high level of discretion and judgement will be required, along with the organization and initiative to achieve strategic goals and stay accountable to the project plan. Work outside of regular office hours may be required, along with some local and provincial travel.Typical Duties or Accountabilities:Support the SRS Expansion Coordinator in managing administrative tasks related to the expansion projects.Ensuring timely and appropriate communication with internal stakeholders of the SRSSupport the OT and SLP Implementation Coordinators with administrative tasks related to their work in developing curriculum, putting together accreditation documents, etc. * Support the Planning and Projects Specialist in accomplishing administrative project tasks such as preparing meeting agendas, taking meeting minutes, tracking progress on specific action items, and updating schedules/project documentation as needed.Coordinate processes for collaboration with internal and external stakeholders.Meeting coordination and communication of agendas/minutesTracking stakeholder engagement meetings, taking notes, preparing summary reports, etc.Support planning stakeholder engagement events.Identify, collect, and present relevant data to support the academic proposal for the two new programs, such as ensuring that our knowledge of existing programs in Canada is kept up to date via updating environmental scansSupport committee functions and facilitate communication among stakeholders, ensuring effective coordination and follow-up.Act as a representative of the Academic Programs Working Group, fostering a positive and professional image.Support the Working Group in establishing and maintaining approved messaging that can be shared with various stakeholders.Engage with prospective students via the OT/SLP email to maintain their interest and communicate with them as appropriate.Support and engage in SRS recruitment activities, including targeted recruitment in rural, remote, and Indigenous communities.Perform other duties assigned to support the School of Rehab Science Expansion projects' overall objectives.Education: Post-secondary education in a relevant field as it pertains to this position is required. An undergraduate degree is strongly desired - a combination of education and applicable experience may be considered.Experience:A minimum of three years relevant experience in administrative support is required.Experience with graduate level program support is required.Knowledge of various USask, CGPS, ConnectionPoint processes/procedures is strongly preferred.Experience in quality assurance or accreditation preparation is an asset.Experience in project coordination and/or proposal development is an asset.Skills:Demonstrated ability to handle interactions with tact, diplomacy, intercultural sensitivity and confidentiality.Exceptional written and verbal interpersonal and communication skills.Proven ability to establish and maintain professional relationships with various stakeholder groups and foster collaboration.Demonstrated ability to set priorities, adapt to change, and work as part of a team.Exhibits meticulous attention to detail, ensures accuracy, and possesses strong organizational skills.Ability to recognize and implement changes in policies/procedures to improve efficiencies.Demonstrated ability to interact effectively with learners, university and health authority personnel, Indigenous community partners, other community stakeholders, and the general public.Adept at multitasking in diverse environments and meeting deadlines.Ability to take initiative, problem-solve effectively and independently.Proficiency in computer skills, and demonstrated expertise with Microsoft Office software (Word, Excel, SharePoint, PowerPoint, and Outlook), is essential.Proficiency in using virtual meeting platforms such as Zoom and Microsoft Teams.Department: School of Rehabilitation SciStatus: Term 12 months with the possibility of extension or becoming permanentEmployment Group: ASPAShift: per supervisorFull Time Equivalent (FTE): 1.0Salary: The salary range, based on 1.0 FTE, is $52,050.00 - 81,328.00 per annum.
