Job Description

WoodGreen’s Housing & Homelessness Services Unit is a social housing provider to the hard to house population made up of low-income seniors, individuals, and families. Many of the tenants have additional complex barriers and conditions such as physical disabilities, mental health, and trauma from recent experiences with homelessness. Building Services is responsible for preventative and emergency maintenance for owned, leased, and managed properties, including janitorial, grounds keeping and security. The program is responsible for preparing residential suites for new occupants, supervising and carrying out upgrades to offices and properties, providing physical support to programs and services, and ensuring all applicable codes, standards, and policies are met and adhered to.What You Will DoDevelop, implement, and monitor routine preventative and maintenance repairs and cleaning schedules for the buildings; including scheduling of staff and vacation approvals. Ensure the prioritization, delegation and completion of work orders.Directly supervise building services staff and conduct annual performance appraisals.Provide oversight to staff to ensure a consistent and high level of maintenance responses are delivered to WoodGreen tenants.Work with Management to ensure the planning and implementation of staff development.In collaboration with Management team, support recruitment and evaluate qualified staff for the building services department under the procedures of the collective agreement.Ensure that repairs and renovations done by external contractors are secured according to WoodGreen’s policies and procedures regarding competitive pricing, quoting, written specification and tender document requirements, quality work and contract supervision/administration.Inspect and sign off on all work done by external contractors prior to invoicing being approved and passed for payment.Responsible for the effective operation of the Organization’s vehicles including the accurate and efficient monitoring of gas card and update of log books.Ensure system of record and inventory are implemented, maintained, and that the database for property management systems related to maintenance are accurate and up-to-date.Responsible for inventory review and purchasing of standard resources and supplies to fulfill regular maintenance functions.Implement and monitor fire safety procedures including monthly fire drills, train all staff and on their role in fire safety and evacuation procedures.Implement and evaluate policies related to the maintenance of the physical structure, safety and security of the buildings, staff, centre users, and housing tenants.Ensure WoodGreen policies/procedures are carried out in the operation of Building Services.Establish and maintain links with staff, outside agencies, and government bodies to ensure all programs and locations meet regulations of the building and fire codes as well as health and safety codes.Prepare performance data and written reports as and when required.Work with Management in the preparation of annual maintenance work plans, operating budget and reserve fund/capital expenditure.Communicate effectively to all departmental managers, contractors, and statutory agencies.Stay up to date with relevant legislation, and work to ensure compliance on the part of the contractors.May be required to participate on the Health and Safety Committee representing management.Participate in unit meetings and managers’ team meetings to ensure orderly development of the unit.Ensure effective utilization and training of volunteers and students.Responsible for representing the unit on internal committees as directed.Ensure that the anti-racism objectives and community development principles of the organization are achieved with the program.Responsible for personal upgrading training and education as directed.Participate in regular supervisory sessions with Management.Ensure all cleaning staff and contracted cleaners maintain a high level of building cleanliness.Review and Implement a comprehensive annual unit inspection program for units within the WoodGreen portfolioWhat You Bring to the TeamBachelor’s degree/Diploma in a relevant field of study.5+ years’ general building maintenance experience in a multi-unit residential, institutional, or commercial environment with experience in Blue Print Reading, Fire Code, and Building Codes.5+ years’ proper management experience with training in Due Diligence, Health and Safety, Electrical, and Mechanical Systems.3+ years’ managerial experience.WHMIS TrainedExperience working with diverse client and worker base.What Will Set You ApartExperience in the non-profit sector is considered an asset.Strong management skills including budget and staff management.Knowledge of computer systems including Word, Excel, internet, email, or other property management data bases including Yardi/InSite.Excellent organizational, and time management skills.Capable of leading and supervising the work of other maintenance personnel, and contractors.Familiar with the safe use of hand and power tools.Ability to work with little direct supervision.Excellent communication, interpersonal, and team skills.Understanding of social/economic issues faced by tenants and clients.Proven ability to problem solve and work under pressure.Shift work and weekend work may be required. On call work required after regular working hours. Work location may vary.An automobile in good working order and valid driver’s license is required.
