Job Description

We are looking for a Business Operations Assistant to support our executive team. You will manage mostly business-related tasks for the team such as creating reports, managing key actions across the business, taking minutes, and other organisational tasks. To do this role properly you should be extremely fast at solving problems and have experience as an executive assistant in the past.

What you can expect to be doing:

  • Preparing documents, managing meeting actions, and completing follow-up tasks.
  • Managing executive calendars, knowing which are important and shielding from non-important requests.
  • Filing and retrieving corporate records, documents, and reports.
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Helping prepare for meetings.
  • Accurately recording minutes from meetings.
  • Using various software, including spreadsheets, databases, and presentation software.
  • Reading and analysing incoming memos, submissions, and distributing them as needed.
  • Managing key internal communications and presentations.
  • Be able to assist with Saas renewals and insurance policy renewals.
  • Assist with invoice reconciliations.
  • Support with Share Capital tasks including management of shareholder information and keeping records up to date, and support in company share option granting process.
  • Provide general administrative support.
  • Assist with ad hoc large projects.
  • Dealing with the post to the office and ensuring it goes to the relevant people.
  • Dealing with any office related issues i.e access cards/key fobs etc.
  • Ensuring everything is working and organised in the office by performing office duties that include ordering supplies and managing a records database.


What we’re really looking for:


  • Proven experience as an executive assistant or other relevant administrative support experience.
  • Ability to organise a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced, quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills.
  • Exceptional organisational and diary management skills
  • High levels of flexibility and adaptability
  • Flawless communication and presentation skills, both written and verbal
  • The ability to multitask and prioritise an ever changing workload
  • The ability to work under pressure and reach deadlines
  • The ability to work autonomously
  • Strong business and commercial acumen
  • The ability to communicate with and present to senior management and executives
  • The ability to build relationships at all levels across the business and with external contacts
  • Drafting, writing and research skills
  • Experience as a virtual assistant
  • Strong stakeholder management
