Finance Administrator
Responsible to: Business Support Manager or Chief Executive Officer
Hours of work: 20 hours minimum, up to 37.5 hours per week (flexible
& home working available & considered – please state preferred hours in application)
Direct Reports: Administration Assistant (Volunteer or paid)
Base: Head Office, 33 Carnie Drive, Aberdeen
(Home working, or a blend of home & office working considered)
Salary: £21,450 to £23,400 per annum pro-rata (negotiable, dependent on experience)
Annual leave: 36 days per annum pro-rata

North Scotland (A-ND) has been providing support and services for autistic and neurodivergent individuals of all ages, and their families, throughout
Grampian for over 30 years. We have gone through significant and transformational change since 2021 and continue to develop and grow to ensure we are leaders in autism and neurodiverse specific support throughout north Scotland.
Growing from a staff team of 25 to 50 over the last two years, we have a committed, passionate, outcomes and values focused and skilled team who pull together, regardless of role, to create magic every day for the people and families we support.

Our headquarters are based at Carnie Drive, Aberdeen, with a second base in Elgin for our team who serve the Moray area. We are soon to open additional bases in North Scotland.
We currently provide outreach support to children, adults and their families throughout Aberdeen City, Aberdeenshire and Moray, as well as a Playscheme based in Aberdeen for children aged 4 to 18 years. Our new
Binky the Sensory Bus project launches in September 2023 in
Aberdeenshire, and we continue to provide consultancy and training to external partners and organisations throughout Scotland.
The role of Finance Administrator is essential in supporting run and manage our services, look after our people and ensure the smooth financial running of the charity.

Job Summary and Purpose of Role
You will work closely with the CEO, key Leadership Team, volunteers, and external partners. Our organisation is fast paced, and this role will require someone who is a self-starter, flexible, able to multi-task and who is a team player.
You will have a key role in supporting the finance function of the organisation involving accounts processing, sales and purchase invoicing, processing of payments, timesheets, mileage and expenses, payroll and
PAYE, credit control and year-end accounts. Our charity uses the accounting system Xero and knowledge and experience of this would be advantageous.
You will be a key and direct support to the Chief Executive Officer and work closely with our external accountants, key leadership team and internal team.
You will support the day-to-day running of our head office where required, along with our Admin & PA to CEO, support junior administration staff and volunteers, word processing, answer calls and general enquiries, creating spreadsheets, process emails, mail and all filing. You will require to stand in for the PA to CEO to cover essential duties when they are on leave.
You will contribute to the financial and administrative management of the organisation through regular reporting directly to the Chief Executive
Officer. As we are a small charity, with limited resources, this is a very hands-on role and requires a proactive, flexible, logical and systematic
Main Duties and Responsibilities
- Processing of sales and purchase invoices, ensuring appropriate, timely authorization
- Credit Control
- Processing of Purchase invoice payments, ensuring appropriate, timely authorization
- Timely processing of timesheets, expenses and mileage, ensuring appropriate, timely authorization
- Timely processing and provision of all financial information required by our external accountants
- Timely processing and provision of all financial information required by our Board of Trustees and CEO
- Timely preparation and provision of all financial information for yearly audit by external auditor
- Dealing with email enquiries and re-directing as required
- Minute and note taking (in absence of Administration Assistant or PA)
- Support the arrangement and booking of accommodation and general travel for staff
- General office management (maintenance, ordering of stationery, upkeep of resources and general office space)
- Provision of general administration support to CEO and Leadership
Team
- Liaise with external partners and agencies, including individuals we support, their families, local authorities, third sector and commercial organisations
- Assist in any other relevant work as directed from time to time
Skills & Experience
- Book-keeping experience (Essential)
- Minimum three years relevant finance administration experience (Essential)
- Good working knowledge of MS word and Excel (Essential)
