The role

Aberystwyth Arts Centre is looking for a reliable and friendly individual to join our busy Ticketing and Sales team. The Arts Centre is a lively and ever-changing venue, and we welcome 650,000 visitors a year through our doors. The Ticketing and Sales team is key to providing a high level of customer care and support for the programme of activity and ensuring that everyone has the right ticket for the right show!

Daytime, evening and weekend hours will be required to help at busy times and to cover staff absence/annual leave. It’s a lovely team at the Ticket Office, and if you like dealing with people and are into the arts, then this could be the ideal role for you.

Please note: The Arts Centre's Ticket Office is a vibrant hub for all visitors to the venue and to ensure we offer the very best service to our customers our Ticketing Assistants must be able to communicate equally well in both English and Welsh.

What you’ll do

This job description is subject to review and amendment in the light of the changing needs of the University, to provide appropriate development opportunities and/or the addition of any other reasonable duties.

Responsible to: Marketing & Communications Manager

Responsible for: There are no direct report duties associated with this role

Main Duties & Responsibilities

  • To staff the box office on a rota basis undertaking transactions using the adopted PatronBase ticketing system (or similar).
  • Ensure that accurate customer information is obtained; recorded and maintained within the database according to Data Protection policies.
  • Responding promptly to any telephone queries either directly or in response to voicemail messages and/or performing the required ticket transaction.
  • Within set procedures and at the request of relevant section Managers, to enter details of performances and events into the PatronBase ticketing system.
  • Advising customers on seating arrangements and assisting them with the options available.
  • Providing sales reports to visiting companies/agents on a weekly basis.

Front-line and Reception Duties:

  • Actively promote all aspects of Aberystwyth Arts Centre events to potential customers and to provide a friendly and welcoming service to all those using the facilities available.
  • Post-holder will need to be to be able to communicate fluently, both orally and in writing, both in English and in Welsh.

Finances and Budgets:

  • The role does not involve any budgetary control but does require the role-holder to account for any box office takings accrued, which will generally be substantial cash/card takings. This will be carried out in accordance with agreed protocols and within standard financial regulations.
  • At the request of relevant section Managers, running reports of attendances and sales figures for financial analysis and providing a summary on request of the ticketing data.
  • Reconciling takings at the end of each shift and storing cash appropriately prior to banking; ensuring reconciliation documentation (sales figures, card and cash transactions) is appropriately recorded and the data robust and auditable.

Health and Safety:

  • Be familiar with and prepared to assist in all fire and emergency evacuation procedures.

Teamwork and Supervision:

  • To work as a member of a team according to the demands of the shift or other imperatives and occasionally to work alone but within agreed protocols.
  • To contribute constructively to regular meetings with other members of the Ticket Office and wider Arts Centre team to understand requirements for future projects.
  • Work collaboratively with colleagues, communicating clearly to ensure that customer queries are dealt with promptly.

Administrative Assistance:

  • The role will involve undertaking basic administrative tasks. Communication may either be in English or in Welsh.

Other Duties and Arrangements:

  • To work flexibly across 7 days of the week within the working hours determined by the role and business needs. This could include daytime, weekend and evening hours.
  • To undertake health and safety duties and responsibilities appropriate to the post.

Who you are – Qualifications, Experience, Knowledge, and Skills required:

Essential

  • Educated to A-level or equivalent qualification.
  • Maths GCSE (Grade A-C) or equivalent qualification.
  • Experience of working with the public, and as a first point of contact to customers and enquirers.
  • Excellent IT skills and the ability to adapt, with some training, to any new software or hardware that the business requires.
  • Excellent interpersonal skills and the ability to work effectively as a member of a team.
  • Excellent communication skills in particular orally but also in writing and the ability to speak and write clearly both in English and in Welsh.
  • The ability to work largely unsupervised although with a nominated individual ‘on call’ to respond to queries where necessary.
  • Oral (spoken) and Written Welsh Level C1. *
