Function

We are looking for an experienced, action-oriented, and highly organised Business Assistant to support the Commercial leadership team who are responsible for the sales, account management, business enablement and customer engagement across multiple countries, with varying time zones.

The ideal candidate will be able to manage an exciting set of broad-reaching priorities, anticipate and remove roadblocks, make timely decisions, and proactively identify areas to help support the business. You will work in partnership with your direct report and his team by providing seamless support to your team and the organisation. You will operate in a variety of capacities, demonstrating excellence in administrative functions, such as:

  • Communication: Field calls for the GCD, and redirect to the appropriate team member, in order for the customer to get a quick response rate. If not able to redirect, ensure that as much information for the call is requested, to prepare the GCD for the engagement with the client.
  • Understanding the rhythm of the Business: Partner with leader and business management on management of rhythm of business calendar and preparing and or coordinating internal and external engagements as required. Plan and execute meetings, events, off sites, morale activities and partnerships both inside SFP and external with clients.
  • Prioritisation and Planning: Assist the team in driving results by ensuring that the leader and teams spend time on the most important priorities and build work-back schedules into calendars.
  • Culture Building: Craft fun and engaging team experiences to ensure employees continue to feel connected.
  • Meeting Administration: Capture minutes and actions and manage responses thereto.
  • Budget and Expense Co-ordination: Maintain understanding of the team budget, including invoices and expenses. Where needed, source equipment, services, and supplies to enable the team to delivery on their jobs. Manage and prepare expense reports for Global Commercial Director.
  • Calendar Management: End-to-end management of complex leadership team calendars, utilising a strong attention to accuracy, timeliness, conflict resolution, and alignment to priorities and commitments - all resulting in the leaders staying focused on their business priorities, working efficiently and being fully prepared.
  • Travel Co-ordination: Plan and coordinate domestic and international travel end-to-end, including the proactive anticipation of logistics and itineraries.
  • Customer appreciation events: Assist with the collaboration of customer appreciation events, ensuring timely invites and responses are received and that the team provides key client names for the events in a co-ordinated and structure way
  • Collaboration and Partnership: Collaborate and partner with support staff across the organisation to ensure consistent experiences and contribute to the administrative community.
  • Team Operations: Ensure compliance of the company’s operational policies and procedures, annual refresher training, GDPR policies and confidentiality requirements

Profile

What are we looking for?

  • High proficiency with Microsoft productivity software, including Word, Outlook, PowerPoint, Excel, Microsoft Teams and Zoom.
  • A self-starter with the ability to anticipate needs and act ahead of direct guidance in a fast-paced environment.
  • Excellent written and verbal communications skills.
  • Able to maintain confidentiality of highly sensitive information and documentation
  • Seeks to take on big challenges and can see the big picture as well as the detail.
  • Must understand and respond to urgent situations and requests.
  • Excellent planning, organisational, time management and problem-solving skills.
  • Present a calm demeanour, approachable and focused yet able to work in sometimes ambiguous and complex situations.
  • Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organisation
