Job summary

The successful candidate will be responsible for providing effective administration support for which a good working knowledge of Microsoft Office applications is essential. The role involves engagement with Station personnel and wider stakeholders via email, skype and the Station task tracker to understand and propagate new task and hasten those which require attention. The job does involve some lifting of parcels.

Job description

Understand and support post room delivery and output, including the day to day supervision of one member of staff. Redirect mail returned from sections within 24 hrs. Mail wrongly delivered to the Station Post Room is to be returned to the Royal Mail local Sorting Office within 3 working days.

Act as the Station Co-Ord EPC account holder. Payment and reconciliation of invoices to be completed within 1 month of receipt for the Franking machine. Keep up to date with Royal Mail and Parcelforce postal charges and advise your line manager of the relevant changes.

Compile SROs and ensure SRO Repeat Orders are kept up to date. Publish link on SPOL and Defence Intranet.

Via the Task Tracker, carry out the management and administration of station duty rosters and subsequent nominations.

Via the Stn Co-Ord Cell Task Tracker monitor F540 submissions. These are to be printed and submitted to the historical branch.

Coordinate CO Inspections, times, dates, email calendar invites, chase outstanding reports via POC, to be completed within a specific timescale.

Coordinate Animals in the Workplace records the Animals in the Workplace, Bicycle and Caravan registers ensuring that the details held are current and correct and that invoices are reconciled.

Sort and distribute incoming and outgoing mail using the correct pigeonholes for incoming mail and using the postal scales and franking machine to send outgoing mail. Any Defence mail is to be sent separately via parcel force.

To maintain a direct line of communication with Transport Managers and Route Planners of Couriers and Delivery agents involved in delivering to RAF Wittering.

We are looking for an enthusiastic, friendly, and flexible person to carry out the day to day running of a busy Station Co-ord Cell and Post Room. You will be joining a team of 8 people who work closely together to ensure all tasks are completed in a timely manner.
