This is an exciting opportunity to join our team supporting end users in making the best use of our HR, payroll and Expenses system (Workday). For the past 3 years Workday has been a key enabler for HR to support over 8,000 staff.

We have an exciting opportunity for a team member to join us. Being the first point of contact for end user queries, you will play an important role in embedding the use of our system by providing a high quality advice and service in response to system queries.

Job description

As a HR Systems Assistant you will:

  • Act as first point of contact for the team, triaging all queries received on zen desk ensuring that they are correctly categorised so that they are prioritised accordingly and to enable robust management information on query types to be produced.
  • Support, advise and coach managers on basic transactions relating to our HR system, escalating complex queries to the Workday advisors where required.
  • Lead on the resolution of non-pay impacting queries in particular annual leave balances, calculations and overrides and building new work patterns/schedules where needed.
  • Prioritise own workload and work collaboratively with the wider team to identify and prioritise pay impacting queries so that these are resolved in line with the monthly pay impacting cycle ensuring that all employees are paid accurately and on time.
  • Build organisational capability in our HR system and inform continuous improvement on HR systems processes and lead updates to basic user guides, run webinars and other upskilling activity.
  • Provide administrative support within the team as required such as supporting room bookings, meeting arrangements etc.

Person specification

Essential Criteria

  • Excellent organisational and prioritisation skills with proven track record of managing individual workload against conflicting deadlines to tight timescales
  • Excellent communication skills both verbally and in writing with the ability to instil confidence in the advice provided
  • Strong customer service skills
  • Attention to detail in decision making
  • Requires something on decision making and/or ability to think logically through and end to end process

Desirable Criteria:

  • Experience of working in a HR environment providing generalist HR advice to line managers

Desirable criteria will only be assessed in the event of a tie break situation to make an informed decision.

Most DfE employees will be working a hybrid pattern, spending at least 60% of their time in an office or work setting. Changes to these working arrangements are available in exceptional circumstances, but must be agreed with the line manager and in line with the requirements of the role.

Travel to your primary office location will not be paid for by DfE, but costs for travel to an office which is not your main location will be covered.

New entrants are expected to join on the minimum of the pay band.

Applicants who are successful at interview will be, as part of pre-employment screening subject to a check on the Internal Fraud Database (IFD). Terms and conditions of candidates transferring from ALBs and NDPBs

Bodies that are not accredited by the Civil Service Commission and are not able to advertise at Across Government on Civil Service jobs will be treated as external new starters and will come into DfE on modernised terms and conditions with a salary at the band minimum.

Bodies that are accredited by the Civil Service Commission but do not have civil service status will be offered modernised terms and will not have continuous service recognised for leave or sickness benefits. Salaries should be offered at band minimum, but there is some flexibility where this would cause a detriment to the individual.

Bodies that are accredited by the Civil Service Commission and do have Civil Service status will be treated as OGD transfers. Staff appointed on lateral transfer will move on to pre-modernised DfE terms (unless they were on modernised terms in their previous organisation). Staff appointed on promotion will move on to modernised DfE terms. Staff will transfer over on their existing salary (on lateral transfer) and any pay above the DfE pay band maximum will be paid as a mark time allowance. Staff moving on promotion will have their salaries calculated using the principles set out in the attached OGD transfer supplementary information.
