The Office for Health Improvement and Disparities (OHID) officially launched on 1 October 2021 with the aim of tackling health inequalities across the country. As part of DHSC, OHID brings together expert advice, analysis and evidence with policy development and implementation working with the whole of government, the NHS, local government, industry and wider partners to shape and drive health improvement and equalities priorities for government.

The Abortion Notification System (ANS) team sits within the Public Health Analysis Directorate in the Office of Health Improvement and Disparities (OHID), which plays a vital role in supporting OHID and DHSC’s key objectives of improving health and reducing disparities.

The ANS Team is recruiting for an Administrative Officer Data Entry Specialist to support the team’s high-profile work programme. Abortion is a high profile and sensitive area that receives a lot of media attention. The ANS Team manages the processing of abortion notifications (HSA4 forms) to monitor the Abortion Act, by entering and processing data from both paper and digital HSA4 forms. Data from the forms is also used to inform our National Statistics and support policy decision making, and therefore the accuracy of the underlying data is very important.

Job description

As a Data Entry Specialist, you will be part of the team working to process and enter HSA4 forms, in order to monitor the Abortion Act and inform our National Statistics. You will be provided with training for our data processing systems (including security training), including our digital systems and the use of equipment such as the guillotine, scanner and shredder.

You will report to an Executive Officer Data Entry Administrator and work alongside two experienced Data Entry Specialists; you will be part of a friendly and supportive wider team, which also includes analysts who produce our National Statistics publications.

The role requires some in-office working, in order to process paper forms; the team are based at 10 South Colonnade in London and the post holder will need to travel to this location. Some elements of the role can be undertaken remotely.

Person specification

The post holder is likely to be involved in all stages of processing HSA4 forms, including but not limited to:

  • Sorting parcels containing paper HSA4 forms and visually checking forms for errors
  • Using a guillotine to cut the HSA4 forms to size, ready for scanning into our Abortion Notification System
  • Scanning HSA4 forms and entering data from the forms
  • Checking missing details on HSA4 forms, and if data is missing, returning forms to clinics for completion
  • Performing data quality checks for paper and webforms on a regular basis, and correcting forms with errors
  • Shredding HSA4 forms once they have been processed
  • Monitoring and responding to calls and emails in shared inboxes
  • Working with the team to ensure that tasks are organized efficiently and that the database processes are running effectively.

Key Skills and Experience:

  • It is likely you will have had some prior experience of administrative roles and/or processing and entering data.
  • Excellent attention to detail and organisational skills
  • Good teamwork and communication skills
  • Ability to work at pace.
  • Experience of using Microsoft Office and learning to use different IT systems

New Entrants to the Civil Service

New entrants appointed in grades AA to G6 will receive DHSC’s modernised terms and conditions:

  • Annual Leave: 25 days on entry rising by one day for each completed year of service to a maximum of 30 days and pro-rata for part-time staff
  • Privilege Leave: 1 day - for the King’s birthday
  • Hours of Work: 37 hours (net) per week for full time staff in all geographical locations, including London and pro rata for part-time staff
  • Occupational Sick Pay (OSP): one month full pay/one month half pay on entry, rising by one month for each completed year of service to a maximum of five months’ full pay and five months’ half pay
