Purpose of job
The principal duties will include working as part of the Facilities team at our 40,000 sq ft office space within a multi tenanted building. Providing a proactive and efficient approach to a programme of maintenance and timely completion of all tasks.
The Facilities & Administration team provides wide-ranging support services to the business. Whilst each member of the department has specific responsibility for designated tasks, the department works under a team ethic, whereby assistance and cover is provided by other members of the team. Everyone in the team learns each other’s designated tasks/duties.
Premises & equipment maintenance (in alphabetical order)

Air conditioning: Liaise with service providers as necessary re call outs for air-con units which are independent of the main building’s system. Manage associated BMS and plant maintenance PPM.

Coffee machines / Ziptaps / Vivreau water-dispensers: Daily inspection to ensure service and cleanliness. Liaise with service provider re PPM and any reactive maintenance etc.

Environmental management: support the firm’s environmental policy and procedures, including appropriate waste management.

Health & Safety: Ensure maintenance of H&S equipment, eg fire extinguishers etc. First aid and fire marshal duties etc. Raising / lowering of desks.

Kitchen appliances maintenance: Fridges, dishwashers, microwaves ovens, cooker hoods etc - liaise with service providers re maintenance call outs and PPM.

Lighting /electrical: Replace failed strip-lights and bulbs throughout the office, incl meeting rooms, reception areas and kitchens. Maintaining supplies of lighting consumables. Call out of electricians as necessary. Arranging H&S inspections of all electrical equipment, ie PAT and 5 year fixed installations testing.

Maintenance: Co-ordinate PPM works and reactive maintenance with external contractors. Liaise as necessary with the onsite engineer and other members of the building management team. Daily maintenance inspections of air-conditioning, plumbing, toilet facilities, domestic appliances, office cleaning, lighting, security system, seating, plants, folding wall, miscellaneous office equipment and recording results of such maintenance patrols on CAFM Explorer facilities work control system.

Meeting room reconfigurations: On request from Front of House staff, setting up furniture and equipment etc in meeting rooms, eg reconfiguration and/or removal as required of meeting room furniture and audio-visual equipment.

Office cleaning: Ensure cleaning works maintained to high standard. Liaise with cleaning contractor. Deal on-site with minor clean-ups as required.

Plant displays: Weekly maintenance checks of plant displays. Liaise with service provider as necessary. Annual ordering of decorated Christmas trees etc.

Plumbing: Deal with minor plumbing issues. Call-out of external plumbing contractors and follow up with contractors on attendance at site.

Repairs: Identify and carry out general small repairs to office equipment/furniture etc, eg window blinds, cupboard door hinges. Liaising with Facilities Manager as necessary. Re-siting of office equipment and furniture.

Security systems: Managing the security door system, including the supply, programming and issue of security entry cards. Calling off security data on request from Facilities managers.

Storage facilities: Keep on-site storage facility orderly, clean and tidy. Maintain inventory of all items held on-site and/or at an off-site storage facility.

Welfare facilities: Check for cleanliness and general maintenance.
Other duties

General assistance etc: Provide cover / assistance to/for other members of the Administration / Facilities team as/when/where required (incl working at other LCP office site).

Joiner inductions: carry out one-to-one or group induction sessions with new joiners re general office procedures, housekeeping, Health & Safety and environmental procedures.

Requirements

2 years of facilities experience at an office site of comparable size or similar.

Good IT skills - Excel, Microsoft Teams, Outlook. Experience of CAFM Explorer or similar system (Computer Aided Facilities Management).

Experience in Health & Safety and Environmental Awareness an advantage.

Ability to work as part of a team with fluctuating workload. Ability to work on own initiative and prioritise workload.
