Protection of Children and Young Persons
Any offers of appointment will be conditional and subject to a Disclosure and Barring Service (DBS) check, a certificate of good conduct if applicable, plus receipt of satisfactory employment references, Occupational Health clearance, an understanding of safeguarding and qualifications verification. An Enhanced DBS check is required for this position as you will be working within 'Regulated Activity' within a specific place (i.e. the College).

Background to the Post
This role will provide professional HR support at WCG. You will work extremely closely with a HR Adviser, providing accurate, effective and efficient administrative support to a client group within the College. The role is busy, varied, and demands very high standards and attention to detail in terms of the service provided to our customers with a proactive approach and a desire to deliver excellence.
The role needs someone with a track record of excellent administrative and customer service skills, who can communicate effectively and discreetly to staff at all levels of the business and provide support, guidance and advice to our customers. Strong organisational skills to structure your own day and meet targets is imperative to manage delivery and build close relationships with managers and staff to collectively achieve the College’s Strategic Aims and HR Strategy.

The wider HR function includes a generalist HR team, Learning & Development, Payroll and Health & Safety. The function supports WCG across all six College sites and the role will be based in Leamington Spa.
Duties and Responsibilities
- Advise managers on a range of HR procedures, including recruitment and selection, through to shortlisting, arranging interviews and sending documentation to panel members.
- Responsible for producing and issuing a range of legal documents including Contracts of employment, amendment to contract letters, offer letters etc with attention to detail being imperative to ensure accuracy.
- Manage own and departmental incoming calls and inbox on a daily basis, responding to enquiries in a timely manner.
- Responsibility for the completion of mandatory and legally required pre-employment and new starter vetting checks, including DBS checks, employment references, right to work checks and be responsible for maintaining the WCG’s Single Central Record, ensuring pre-employment checks are thoroughly actioned and escalate where appropriate.
- Maintain employee files, general administration and departmental archiving.
- Assist in managing leave of absence and providing guidance on college policy and procedure.
- Ensure the HR intranet pages are regularly updated.
- Support the wider HR function by gaining an understanding of contractual and statutory Payroll law and the College’s HR policies, to be able to deliver a professional frontline customer service, advising staff, prospective employees and managers.
- Ensuring a professional, supportive service for the department, including supporting HR casework with note-taking, issuing associated letters. This will including supporting the HR Advisers and HR Manager with change management processes, formal and informal casework.
In order to support during busy exam periods, you may be asked to undertake exam invigilator duties. The College will provide training.

Annual Leave
The College offers a generous annual leave entitlement to support staff, commencing with 25 days rising to 28 days after 5 years’ service, pro rata per annum plus 8 statutory days (Public & bank Holidays) and College closure days (all pro rata for part time posts).
Hours of Work
The post holder will be expected to work such hours as are necessary for the proper performance of their duties and responsibilities, normally 37 hours per week.
Place of work
The principal place of work will be the College’s premises based at our Royal Leamington Spa Centre. However, the post holder may be required to work on either a temporary or an indefinite basis at any premises at which we may provide services.

Essential Attainments:
- GCSE Grade C or above in English and Mathematics, or Level 2 equivalent qualification.
- Working knowledge of information technology such as e-mail, the internet and other software applications.
- Excellent administrative and organisational skills.
- Excellent communication skills, both verbal and written.
- Successful experience of prioritising work and meeting deadlines.
- Evidence of working and supporting within a team environment.
