POSITION PURPOSE
The Assistant Director, Events & Programming (ADEP) in the Student Activities Office (SAO), oversees the management of complex events and programming and leads the Events & Programming team. The ADEP provides support and guidance to student government entities, and Registered Student Organization (RSO) members and leaders regarding event and program planning and management, fund procurement and management, compliance, interpretation of University policies, and federal, state and local laws. The ADEP provides coaching, counseling and guidance to students with diverse identities, academic, social, political and cultural perspectives.
Promising candidates will possess a passion for working in a student-centered environment with a student development theory-driven practice, fostering student success through teaching and learning and possess the ability to make sound administrative decisions through collaborative processes to advance the HUB’s mission and strategic goals. Reports to the Associate Director of Student Activities, serves as a member of the SAO Leadership Team and the HUB team.
POSITION IMPACT TO THE UNIVERSITY
The ADEP is an active and visible member of the SAO team, working directly with the Associate director to lead the SAO team, often collaborating with other departments on campus and in frequent contact with students.
Lead staff member responsible for advising to key entities in student government and guiding students through their leadership experience.
Direct oversight of major events impacting thousands of students in order to enhance the Husky Experience.
Development and management of budgets.
Strategic planning and execution of new initiatives, including collaboration with other departments and off-campus partners.
POSITION COMPLEXITIES
Candidates will possess an in-depth knowledge of student development, student activities best practices, and personnel management. Knowledge of University policies and procedures, and state/federal/local laws as they apply to student organizations and student government are essential. Candidates will be a strategic leader and contributing member of a team, manage projects and people with the highest level of integrity, display an extreme attention to detail, and have a proven track record of executing a strategic vision.
DUTIES & RESPONSIBILITIES
Administration – 45%
Oversee the planning and management of complex annual and one-off events and programs hosted by SAO, student government and student organizations, including but not limited to SAO portions of Dawg Daze, Fall Fling, and the Spring Show which including bringing national recording artists to campus; also including but not limited to large campus-wide social and cultural programming that impacts campus services and infrastructure.
Manage performance contracts and coordinate logistics such as ticketing, security, tents, staging/lighting and food vendors with campus partners.
Design, develop, implement, and assess comprehensive event planning and management protocols for SAO, RSOs, and student government in collaboration with the Leadership & Organizations team.
Develops and implements on-going information sessions on complex event and program planning for student organization officers.
Disseminate information on SAO operations and protocols across multiple platforms (social media, email, websites, in-person, etc.) to a diverse audience, including students, staff, faculty, and the public.
Review and approve Use of University Facilities requests, fundraising permits, and funding requests for RSOs and student government entities advised by direct reports.
Maintain current and historical records for all programs. Prepare quarterly and annual reports.
Initiate problem solving and conflict resolution efforts on issues involving programs; Make recommendations regarding programs, policies, assigned entities, and RSOs to the Associate Director.
As part of the SAO team, coordinate and/or assist a variety of HUB and campus-wide facility sponsored events.
Advising Student Government and Student Organizations – 25%
Serve as primary advisor for assigned ASUW and GPSS officers and employees, such as ASUW Arts & Entertainment, commissions, entities (such as Rainy Dawg Radio), committees, and Board/Executive officers.
Serve as advisor for assigned Registered Student Organizations, usually in categories based on RSO type, such as cultural, performing arts, special interest, fraternities/sororities, Esports/gaming, and recreation/sports groups.
Assists students with planning, budgeting, promotions, execution, management, and assessment of RSO-hosted events/initiatives in assigned functional area such as lectures, concerts, cultural programs, event fairs, dances, and workshops.
Monitor and advise student government program directors and RSOs regarding day-to-day operations, which could include personnel issues, risk management, financial transactions, contracts, programs, and campus services.
Guide and mentor RSO and student government officers in the planning and management of complex events.
Serve as a primary liaison between RSOs/ASUW/GPSS entities advised by this position and campus staff, campus departments, other student groups/entities, vendors, outside groups; Advocate for RSOs and student government across campus.
Oversight of select ASUW enterprises, including negotiating with vendors, contracts, collections, business processes management.
Solves problems as a mediator and facilitator regarding policy violations and disciplinary issues.
Maintain and update historical records and files related to assigned committees and programs.
Advise Associate Director on emerging and ongoing issues among student organizations; Prepare reports and statistical data.
Monitor compliance and interpret University and state policies, procedures, and regulations, and other legal requirements as they relate to the student government and student organizations and ensure compliance in all RSO and student government matters.

Supervision of the E&P Team – 15%
Select, train, supervise, and evaluate 2 full-time staff: 1 Senior Advisor and 1 Advisor.
Select, train, supervise, and evaluate 1 Graduate Student Intern.
Assign advisor roles of direct reports in consultation with Associate Director and fellow Assistant Director.
Provide counsel and expertise to Senior Advisor, Advisor, and Intern on emergent and ongoing concerns related to assigned RSOs and student government entities.
Financial Management – 15%
Create, monitor, track, adjust, and forecast assigned departmental budgets.
Monitor and advise RSOs and student government on budget management.
Security approver in Workday financial system.
Oversight of operational budget processes for student enterprises, such as Rainy Dog Radio, ASUW Food Co-op, Bean Basket and Bike Shop.
SUPERVISION
This position reports to and works under the general supervision of the Associate Director of Student Activities.
SUPERVISISORY RESPONSIBILITIES
This position directly supervises 2 full-time professional staff positions (1 Senior Advisor and 1 Advisor), and one Graduate Student Intern.
MINIMUM QUALIFICATIONS
Bachelor’s degree in Student Affairs, Counseling, or a related field and 2 years of related experience or 4 years of related experience as a professional in the fields of Higher Education, College Unions/Student Activities, Non-profit Management, or related field.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS
Experience advising student organizations.
Experience with event planning and management in a professional capacity.
Demonstrated ability in leading people and projects.
Possess interpersonal, problem solving, and customer service skills to work effectively with a diverse group of students, faculty, the general public and colleagues.
Ability to write reports, analyses, and evaluations.
Demonstrated ability to prepare and manage annual operations budgets.
Proficiency in Microsoft Office applications.
Equivalent combination and experience may substitute for required qualifications.
DESIRED QUALIFICATIONS
Master’s degree Student Affairs, Counseling, or a related field
4+ years’ related experience as a professional in the fields of Higher Education, College Unions/Student Activities, Non-profit Management, or related field.
Experience in advising student organizations in a higher education setting.
Experience working directly with student leaders and student government in a higher education setting.
Working knowledge of computer applications for publishing, image handling, and web production, including Adobe Creative Suite and web content management systems.
CONDITIONS OF EMPLOYMENT
This is an overtime exempt position. Position is responsible to work independently with minimal oversight from the Associate Director to lead their team that provides support and guidance to student government and student organization.
Evening and weekend hours may be necessary. Schedule can be flexible and allows hybrid/work from home up to 8 hours (1 day) per week, with the on-site job hours being performed in an office setting, with some on-site event management.
