Position Title: Intake Receptionist
Site: 93706 NRC Site
Hourly Range: $17.00-18.00 per hour
Hours: 37.5 hours/week
Report To: Operations Director
Location: Fresno County
POSITION SUMMARY:
This position provides support and customer service to internal and external clients, partners, and stakeholders in need of services and support from Centro La Familia Advocacy Services (CLFA.) The Intake/Receptionist will follow established procedures and implement processes for the intake lobby, ensuring flow of communication efficiently and effectively.
BASIC FUNCTIONS:
Intake Receptionist will greet client’s partners, and stakeholders on the telephone or in person; screening services/needs and connecting them to the proper resources. The Intake Receptionist will receive information and is responsible to document this information in electronic records, oversee facilitation of the intake area, monitor supply levels, conduct monthly reporting, answer questions for clients and visitors, and maintain knowledge of services provided by CLFA and other community resources. This position requires great communication skills, a high-level of professionalism, high organizational skills and the ability to multi-task. Must be able to handle a high volume of phone calls and visits for services from the community. Must follow COVID-19 health and safety protocols and procedures.
DUTIES AND RESPONSIBILITIES:
- Responsible for organization’s reception-area and manage flow of information from multiple sources into the organization
- Provides assistance in person or directs calls to the appropriate party in a timely manner
- Responds to inquiries and information requests from clients, community members, partners, and other individuals
- Schedules appointments for staff as assigned
- Accurately enters and updates information on tracking logs and reports
- Maintains own calendar and synchronizes with other staff calendars
- Reads and responds to incoming correspondences and prepares outgoing communications in the form of emails, letters, and/or requests
- Prioritizes and ensures appropriate documentation is maintained at all times such as intake logs, referral tracking, mail logs, and reporting
- Monitors supply levels and maintains adequate inventory
- Assists and supports special projects as assigned
- Participate in meetings, trainings, etc. as assigned
- Prepare monthly activity reports to supervisor
- Other duties as needed
MINIMUM QUALIFICATIONS:
- Associates Degree Public Service, Political Science or General Studies
- Two or more years as an office assistance, program assistance, or other related work
- Strong organizational skills with the ability to work independently and in teams
- Strong communication skills
- Knowledge of community issues and needs
- Bi-cultural and culturally sensitive
- Ability to comply with regulations and communicate information appropriately
- Exercise kindness and courteousness to all individuals
- Experience in data tracking and managing communications flow
- Proficient in MS Word, Excel, and Outlook
- Valid CA driver’s license and auto insurance
REPORTING & RECORD-KEEPING
- Utilize data collection tools to document program activities for reporting
- Keep all files/matters accurate and confidential pursuant to CLFA’s established case file protocols and policies
- Document the timely completion of contractual goals and objectives, including internal and external reports
- Use tools to document and track program progress which include: demographic forms, screening tools, assessment outcomes, updates on social media, sign in sheets, etc.
TRAINING AND PROFESSIONAL DEVELOPMENT
- Satisfactorily completion of assigned trainings and coordination efforts with subcontractor, evaluator and partners as required
- Attend mandatory training as part of their orientation and onboarding and will comply with state and federal regulatory requirements related to protected health information and privacy

TYPICAL WORKING CONDITIONS: The office setting is a normal environment.
Occasionally work during early morning, evening, or weekend. May me subject to temperature variances outdoor during events.
TYPICAL PHYSICAL DEMANDS: Requires sitting, standing, or walking for up to eight hours a day. Some bending, stretching, or reaching may be necessary. Lifting up to 5-40 pounds may be required on occasion. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contact.
