Job Description
Bourne Grammar School is looking for an HR and Office Manager to provide expertise in this crucial area of school operations.
BGS is a large selective school of 1700 students and has a total staff of approximately 150. Staff turnover is generally low though there are always ongoing workplace issues that need addressing and support required for a range of issues. The HR and Office manager will work with the Headteacher to ensure high quality operational support and strategic input into workforce planning.
Applicants from a range of backgrounds will be considered, but experience in the world of HR will be a definite advantage and those without formal HR training must be able to show an ambition to acquire relevant, high level qualifications. Working in education requires flexibility as no two days are the same and the successful applicant will be a team player with an eternally positive outlook.

As such Bourne Grammar’s HR Manager will play a pivotal role in our community, providing exceptional leadership and management of the school’s Human Resources context. The post holder will play a vital role in enabling the Headteacher to achieve objectives identified within the School Development Plan.
The person in role will:
1. Provide support for the school’s strategic vision in the provision and management of all matters relating to Human Resources.
2. Provide relevant information to the Leadership Team and Governing Body required for decision making.
3. Develop and support strategies to move the school forward as set out in the School
Development Plan.
4. Play an active part in the life of the school and support the delivery of the school’s
purpose statement – the best atmosphere, the best support, the best results
HR and Office Manager
MAIN RESPONSIBILITIES, TASKS & DUTIES
Human Resources Management
· Lead on the management of all Human resources, employment and employee matters.
· Lead on handling contractual matters.
· Address disciplinary/grievance issues and conduct investigations when required.
· Contribute actively to any restructuring process.
· Assist with competency processes when required.
· Oversee the health and sickness record.
· Oversee the provision of appropriate attendance related data to the Finance Department.
· Keep abreast of developments in employment law and update the Headteacher and
Leadership Team as required.
· Play a major role in the employment and retention of a high-quality workforce.
· Facilitate improved communications when required, including mediating disputes and
advising line managers on how to implement HR policies.
· Ensure effective absence management and occupational health procedures are in place.
· Provide professional guidance for the appraisal system when required.
· Support line managers when required.
· Provide reports and analysis as needed.
· Recognise when staff are going through difficult personal circumstances and signpost
them to the correct services, whilst maintaining a balance with the School’s high
expectations around attendance and performance. This may include supporting and
listening to staff going through extremely difficult emotional and distressing
circumstances, and directing them to the correct agencies for support.
Recruitment
· Oversee and manage the recruitment process.
· Oversee the creation of accurate job advertisements and ensure good coverage in all
appropriate forms of media for such adverts.
· Ensure that all aspects of safer recruitment are adhered to with structured systems and
processes in place to record appropriately
Policies, Procedures and Safeguarding
· Provide HR advice to the Headteacher and Leadership Team, as well as be a point of
contact with internal and external contacts relating to child protection issues with HR
implications.
· When requested, act on behalf of the Headteacher and/or Designated Safeguarding
Lead at formal meetings in connection with allegations against staff.
· Lead on ensuring that school policies reflect the most up to date Human Resource
legislation.
· Be responsible for ensuring that any internal staff-related policies remain up-to-date and in line with legislation.
· Provide accurate advice to the Headteacher on new developments in employment law
legislation which may affect HR activities and school employment responsibilities.
· When requested, research and provide advice to the Headteacher on a range of other
staff related policies or strategy matters, such as Safer Recruitment and nationally
agreed terms and conditions, such as the School Teachers Pay and Conditions Document.
· Carrying out the minute taking of confidential staff HR meetings when required.
Lead on holding and keeping the school’s Single Central Record up-to-date, in line with
national guidance and Ofsted requirements.
· Meet with inspectors during inspections and be accountable to them and the
Headteacher for ensuring the school continues to have an accurate Single Central
Record.
· Maintain up to date staffing information on the website.
· Remain up to date with safeguarding responsibilities and school policies as they relate to this post.
· Lead on ensuring staff records are up to date and maintained accurately. This includes
both manual and computerised records, including attendance, leave, special leave, pay
changes and accidents.
· Work with the Leadership Team to help carry out risk assessments as required.
Project Management
· Undertake assigned HR projects, ensuring that agreed outcomes are delivered on time.
Financial Management
· Ensure effective communication with the Finance Director regarding all staffing costs,
including annual pay scale increases, incremental points, medical and occupational
health, ill health retirement, redundancy and maternity leave costs.
· Work closely with the Finance Director to support and advise on costs of all staffing
issues as detailed in the point above.
· Assist the Finance Director with monitoring cover costs budgets (for example sickness
and vacancies) for both agency and internal cover staff to ensure overspends are limited.
· Ensure that the Finance Office is aware of any HR related issues that will impact payroll

Office Management
· Work with the Leadership Team to develop a culture of open communication, wellbeing, inspirational leadership, innovation and excellence across the support functions of the whole school.
· Drive a culture within the team that is supportive, nurturing and delivers excellence in
everything it does.
· Manage the induction procedures for support staff.
· Organise the day to day management of support staff including cover arrangements in
the event of absence.
· Working alongside Leadership Team line managers assist with Support Staff Appraisal
as required.
· Oversee the professional development of support staff, liaising with the Leadership Team as required.
· Foster teamwork involvement with staff to increase performance.
· Create an environment for ideas and innovations to be explored and work practices
challenged.
· Encourage staff to meet their full potential.
· Ensure that support staff understand the priorities, objectives and policies of the school and can successfully implement decisions.
A flexible approach is needed to deal with a wide range of ever-changing tasks and priorities.
The ability to work as part of a team is essential.
All employees must participate in training as required.
