JOB SUMMARY
The role of the Finance and Accounts Executive is taking responsibility for all the day-to-day finance, accounting and bookkeeping function. You will be initially required in the office for at least two half-days a week which is likely to grow to three days within six months. You will manage the sales and purchase invoice cycles, produce analyses and reports from the accounting system (Xero) and to produce spreadsheet forecasts, taking the management accounts to trial balance, profit & loss and balance sheet.
DUTIES AND RESPONSIBILITIES
Reporting to the CFO and working with the CEO and heads of departments, you will manage and perform all the core accounting activities and responsibilities of Atelier001, including
- Managing all transactional data entry on the Xero, using an integrated sales and expense input system (Dext) and manufacturing & production system (Katana)
- Processing all purchase invoices and expenses
- Managing the payment approval cycle and checking supplier pricing
- Managing the outsourced payroll function and journals
- Preparing schedules for accruals, prepayments, work in progress and deferred revenue and their journals
- Preparing cash flow forecasts
- Working with CFO on quarterly and annual budgets, uploading budgets into the accounts system for monthly variance analysis
- Managing all bank accounts, posting transactions, completing bank reconciliations
- Completing balance sheet control account reconciliations as required
- Managing treasury across different UK and international bank accounts and currencies
- Extracting sales and cost of sale analyses from Xero job tracking systems for sales invoice scheduling, sales forecasting and deferred revenue
- Managing an international sales ledger and credit control function for up to 50 accounts
- Managing multi-currency bank accounts and sales ledgers
- Preparing & checking management accounts for CFO review
- Preparing and submitting VAT Returns and PAYE payments to HMRC
- Negotiating with key suppliers and keeping a competitive eye on rates and prices
- Paying in any cash, cheque or credit card payments
- Administration /ordering: purchasing, stationery, cleaners, water, comestibles, consumables, troubleshooting, answering phones and welcoming guests
- Credit note, invoice amendments and control
- Supporting other departments where necessary, eg margin analyses for sales
PERSON PROFILE
- Motivated, confident, articulate self-starter
- Previous sole department accounts experience will be useful
- Natural inter-personal and telephone call skills, including credit control (customer facing)
- Letter and email writing competence
- Contract review and comparison skills to identify and summarise key commercial terms
- Ability to communicate confidently and persuasively with suppliers over the telephone and in the office
- Good Microsoft Office skills and a natural ability to learn other in-house IT systems.
- Previous experience and practical knowledge of Xero is important
- Experience of cloud based systems such as Dext, Katana and CRMs, would be useful but not essential
- Interested with previous experience in technology and luxury goods sector will be an advantage
- Professional accounting qualifications (part-/full-) and/or qualified by experience are beneficial
