Job Description To book patients for admission for surgical procedures including Cancer for Colorectal and General Surgery theatre lists, adhering to 18 week RTT guidelines. To monitor and maintain waiting lists for specified Consultants To provide administrative support for the Colorectal and General Surgical admissions Department To contribute to providing cover for colleagues in the department as required We are looking for a motivated and flexible Booking Administrator to contribute to the delivery of high quality care to our patients. The Colorectal and General Surgical specialties are a busy service, which books admissions for surgical procedures undertaken within the department. You will be responsible for providing support to the team and arranging admission dates in line with treatment plans, whilst balancing the need to adhere to National and local targets. Accurate data input skills are essential, along with excellent communication skills and the need to be responsive to the needs of the service. You will be a point of contact for patients, specialty teams and other departments for all enquiries relating to patient admissions for the specialties. The successful candidate will be working within the Colorectal and General Surgical Department admissions office and cross cover of colleagues will be required. Free Stagecoach Bus Travel to and from work within Cambridgeshire and Peterborough KEY RESPONSIBILITIES: ADMINISTRATION To book admissions for surgical procedures undertaken within the department, adhering to National and local targets. To cancel, re-book and re-arrange admission dates as directed. To respond to general enquiries to the department from a variety of sources Register referrals onto department computer system in accordance with Trust and National Booked Admissions Programme procedures. Record and update patient data on Trust and department computer systems, ensuring that patient information is correct and kept up to date. To provide cover for colleagues in the department as required. Utilise CareFlow, ICE, e-Track etc., and NHS mail to provide an efficient service for patients, staff and visitors when required. To provide cover for colleagues in times of absence. Opening of post and appropriate distribution of correspondences. Accurate filing of information COMMUNICATION Deal with patients face to face and on the telephone, in a professional, helpful and friendly manner. Liaise with GP practices, Consultant Secretaries, Ward Clerks, Specialist nurses and any other professionals with relation to the Department, distributing relevant paperwork where necessary. Respond promptly to urgent requests from wards/doctors by advising appropriate staff member. TRAINING AND SERVICE DEVELOPMENT To support training and mentorship of new members of the administrative team. To attend computer training as required for Trust and department. To participate in identified training and service development as required. To adhere to any changes in procedures and support the implementation of new pathways/processes. In conjunction with the Senior Booking Administrator ensure that services are developed. In liaison with the Senior Booking Administrator plan and organise workload ensuring deadlines are adhered to and duties satisfactorily performed. In the absence of the Senior Booking Administrator attend forward planning meetings on behalf of the Department. OPERATIONAL A flexible approach to work to ensure adequate cover is in place during absence and peaks in workflow. To demonstrate the ability to be tactful, professional and diplomatic at all times. To adhere to appropriate dress code as per Trust Policy. Ensure punctuality at all times. Maintaining confidentiality concerning information about patients and staff within the organisation. Maintain and encourage good working relationships with all departments. OTHER DUTIES Photocopying of information and distribution of copies to appropriate destinations. Filing Ordering of stationery.
