POSITION: COMMERCIAL & OPERATIONS INTERN
DEPARTMENT: RETAIL

REPORTS TO: RETAIL OPERATIONS COORDINATOR
PURPOSE OF THE ROLE
- To support the business by providing accurate, meaningful, timely analysis and reporting to drive business decisions.
- To carry out daily tasks and projects to support the field and store-based teams.
- Being the first point of contact for all Area Manager Team queries.
- Assist with all adhoc requests from EMEA and UK teams
MAIN RESPONSIBILITIES
- Collate and update Retail Reports (including):
- Assist HR with weekly & monthly commission reports (IPOS)
- Weekly retail dashboard every Monday morning and share with the Senior Team.
- Monthly Sales & KPI trackers and share with the Area Managers.
- Assist Retail Operations Coordinator with the monthly Harrods Scorecard for EMEA.
- Monthly Top 50 store report for EMEA.
- Flagship stores Monthly Business Performance (MBP) reports.
- Assists Retail Operations Coordinator with weekly IPOS report (if needed).
- Temporary Staffing:
- Request and secure the best agencies and temporary staffing for each store.
- Ensure that all approvals have been granted by the Head of Retail & Operations Coordinator
- Create the purchase orders and communicate them to the agencies in a timely manner.
- Work with the Accounts Team to clear all invoices at the end of each month.
- Stock management and replenishment:
- Assist the Retail Operations Coordinator with updating the monthly tester levels online with customer services.
- Assist the Retail Operations Coordinator with managing PPE stock online and forecasting.
- Update the monthly stock take for Harrods Salon and share with Finance.
- Order fragrance atomisers to the office for Harrods and Selfridges.
- Order exclusive testers and bags for head office ensuring that there are always enough quantities available.
- Send pre-series and testers to the Area Managers to assist with sell-in presentations.
- Order all incentive prizes with the Retail Operations Coordinator.
- Admin support:
- Assist with the International Handbook updates and rollout
- Assist with updating the UK Operational Guidelines (Big Black Book)
- To support the Retail Operations Coordinator with project management of IPOS (digital sales consultations, new stores, adding/removing consultants, adding monthly targets & chasing up on reported issues with stores)
- Ensure purchase orders and coding of all invoices are completed in an accurate and timely manner.
- Coordinate and assist on all retail events ranging from consultant awards, city meetings, brand conference presentations, hotel bookings, flights and activities bookings.
- Send updated operational admin packs to consultant doors.
- Support in ordering testers for the all stores when needed for new launches or basic replenishment
- Assist Area Managers to update Beauty Consultant sales on web-reporting if & when needed.
