Job: Project Support Officer – Public Service Reform
Salary: £25,878 - £29,439
Hours: 36.25 hours per week
Contract: Temporary Fixed term contract until March 2025

Your role:
This Project Support Officer role will provide support across policy areas in the Public Service Reform team, helping to deliver a range of high profile and important programmes of work that aim to make a difference to the lives of children, young people and communities across the city region.
Working in a dynamic, fast paced and stimulating environment you will provide administrative support to a range of workstreams, projects and programmes with a focus on supporting the School Readiness and wider Children and Young People’s programme. You will be part of wider team and work closely with other internal services in the GMCA, as well as a wide range of external stakeholders including local authorities, GM Integrated Care, voluntary and community sector enterprises and a broad range of local partners, working collectively to deliver our vision of good lives for all in the city region.
This role will be focussed on the day to day running and development of programmes of work. You will work with programme leads to support with governance and reporting, financial processes, stakeholder engagement, event planning and delivery and wider project activity. It would suit candidates with a background in administration or project coordination with a passion for improving outcomes for children, young people and communities.

JOB PURPOSE
The postholder will contribute to the goals of the Reform Directorate through the provision of high quality project support and administration which is focused, flexible and timely, contributing to the objectives of a fast moving organisation. The postholder will support work across the Directorate, with a specific focus on delivery of projects and workstreams within School Readiness and the wider Children Young People’s programme

KEY RESPONSIBILITIES
- Provide administrative support to meet the needs of the service area, managing performance and development needs to achieve work objectives and service priorities.
- Provide business support and administration to effectively contribute to the delivery and evaluation of specific programmes, projects, and work streams within the Reform Directorate.
- Contribute effectively to the design, implementation and maintenance of high quality management information systems and business support activities, providing comprehensive advice to stakeholders.
- Deal efficiently and courteously, with tact and diplomacy, to all queries and correspondence, both written and verbal from a wide range of internal and external customers.
- Use initiative and established procedures to resolve queries at the first point of contact or escalate when appropriate within agreed timescales and procedure.
- Update and extract information from management information systems accurately and competently as required including the retrieval and collation of reports to agreed procedure.
- Provide accurate research and analysis support where required and produce a range of high quality communication, such as emails, reports and briefing notes for various audiences and purposes including complex, confidential and sensitive correspondence.
- Complete all documentation and correspondence accurately and to a high standard in line with procedures and within agreed timescales.
- Provide support to senior officers as required, including attendance at meetings (both virtually and in person), taking of notes/minutes of meetings and supporting with the facilitation of meetings, workshops and events as required.
- Work collaboratively with colleagues and stakeholders to enhance the role of business support throughout the GMCA.
- To undertake any other duties commensurate with the grade and level of the post.

KNOWLEDGE, SKILLS AND EXPERIENCE
Experience:
- Working in a busy work environment providing general administrative support and project support both virtually and in person
- Experience of dealing with a range of office systems and undertaking desktop research to support service delivery.
- Working to tight deadlines, prioritising work, using own initiative and responding flexibly.
- Working with stakeholders at different levels.
Skills:
- Communication – Interpersonal and negotiating skills in dealing with people at all levels including internal and external stakeholders, senior managers and politicians.
- Interpersonal Skills - Ability to communicate clearly, concisely, accurately and in ways that promote understanding.
- Planning and Organising - Provides work on time and to required standard and is capable of prioritising own workload in order to meet deadlines.
- Problem Solving and Decision Making - Ability to interpret rules and guidelines and know when something needs to be referred to supervisor.
- ICT Skills - Ability to use multiple applications, systems and associated software packages, including a familiarity with virtual working platforms, tools and systems (e.g. Microsoft Teams, Miro, Flinga).
- Literacy and Numeracy - Good literacy and numeracy skills to undertake calculations and produce written documentation.
- Administrative - Ability to use and accurately maintain effective administration systems in a rapidly changing environment and contribute suggestions to improve existing approaches to project administration and coordination.
- Analytical - Ability to engage with stakeholders to identify information needs and to know how to go about obtaining the relevant information. Also able to gather and analyse information, opportunities and problems.

Knowledge:
- Some knowledge of project management approaches, techniques or methodologies.
