Summary

This is an exciting opportunity to be a part of Climate Week NYC, one of the leading global climate events that takes place each year in New York. The role will sit across three main activities, speaker management, speaker onsite engagement and delegate management of a roundtable series.

This role provides the opportunity for someone to become an integral part of our team, and to move forwards our work to a high standard. The candidate will get the opportunity to work across the organisation and to coordinate the onsite activities for senior figures in the worlds largest corporations plus heads of state and regional governments all of who have the combined ambition to tackle climate change.

It is essential for the candidate to be pro-active and have strong attention to detail. We are looking for someone who is comfortable contacting senior stakeholders and taking ownership of their work.

About the role

We are seeking a proactive and motivated Events Speaker and Marketing Officer to support our events team in delivering Climate Week NYC, the largest climate event of its kind and one of the leading climate events globally. The role will sit across three main activities, speaker management, speaker onsite engagement and delegate management of a roundtable series.

Climate Week NYC attracts over 150 high-profile speakers from the worlds largest corporations plus heads of state and regional governments and civil society. The successful candidate will support our content managers is being a point of contact for senior level speakers once they have confirmed to participate in the event.

Key responsibilities will include:


  • Establishing and maintaining effective communication with speakers
  • Helping to chase speaker invitations and research potential speakers contact information
  • Ensuring that speakers are well-prepared for their speaking engagement
  • Support in promoting speakers and their participation to our target audience and social media ensuring the marketing teams have all the resources they need
  • Listing the speakers on our website
  • Ensuring all agenda are kept up to date
  • Create and own the speaker tracker, ensuring colleagues are tracking speaker data correctly
  • Arrange speaker briefing calls
  • Help create speaker and moderator briefing docs
  • Support coordinating onsite speaker management

The Events Speaker and Marketing Officer will be a part of a working group to map our top tier speaker activities and create an engagement plan for them whilst at the event. This could include inviting them to roundtables or one-to-one meetings with other speakers.

Key responsibilities will include:
  • Support the marketing team in highlighting speakers we can engage with at a higher level
  • Map out the speaker onsite activities to ensure we maximise their time onsit


The role will include supporting the events team with the delegate management of a roundtable series that runs alongside the main agenda at Climate Week NYC.

Key responsibilities will include:
  • Inviting delegates to these events via email
  • Creating briefing packs and all onsite materials
  • Sending calendar invites and pre-read documents
  • Coordinating the onsite materials with our design team
  • Proof reading and editing documents
  • Responding to all enquires


About you

Essential:


  • Strong self-organisation and project management skills, ability to multi-task to deliver multiple activities simultaneously and to strict deadlines.
  • Previous role in event coordination working on high-profile events with senior corporate leaders and/or government figures
  • Experience in working with multiple teams and external stakeholders at a senior level and across multiple sectors
  • Experience working with speakers and delegate management
  • Confident onsite at an event
  • Confident spoken and written communications with strong attention to detail
  • Ability to support front of house and logistical events support
  • Proficiency in Microsoft Office; Word, PowerPoint and Excel
Desirable:
  • Previous experience working at an NGO
  • Experience working in an international organisation
  • Experience working on hybrid/virtual events
  • Knowledge of Salesforce, Pardot, Cvent would be an asset


Location


Youll be based in our London head office near Tower Bridge (SE1 2NQ), a 12-minute walk from London Bridge station and enjoy the benefits of flexible and hybrid working: 3 days in the office and 2 days from home.

This is a full-time fixed term position for 5-months. The salary offered is £26,370 - £32,950 per annum, based on experience.
