Administrative Officer – Learning and Support Team – Role Overview

We are looking for an Administrative Officer to provide essential administrative functions to our Learning and Support Team. We’re looking for someone who is eager to contribute to our Learning and Development (L&D) function through their excellent organisational skills. You will have a naturally supportive nature and be willing to undertake a range of tasks to support the team and wider agency.

Key Responsibilities:

  • Resolving queries received from the business, both verbally and in writing.
  • Booking internal and external training facilities.
  • Administration of the Learning Management System - Including management of learner accounts, booking new employees onto relevant learning events, and resolving any difficulties for individuals who are attending events.
  • Supporting front line trainers in the smooth running of events. This may include contacting venues with a list of attendees, following up non-attendance at events, and collating feedback.
  • Collating and providing statistics for the L&D management team to feed into agency wide reporting.
  • Monitor event waiting lists and allocate spare places where appropriate to ensure workshops are full where possible.
  • Support the wider L&D team with ad hoc tasks where appropriate.

Person specification

We are looking for an individual with a willingness to contribute to the Learning and Development function who can undertake administrative tasks to a high standard.

It’s not necessary for you to have experience in this specific area but you’ll be passionate about providing a high level of service for our stakeholders and be a great team player.

  • Good oral and written communication skills as the role will involve supporting a wide range of customers and stakeholders.
  • Good organisational and planning skills – able to prioritise competing demands effectively.
  • Excellent team player who can work flexibly to understand the needs of both their immediate team and the wider team they support.
  • Ability to build effective relationships with a range of stakeholders.
  • An understanding of how to deliver a quality service to customers and stakeholders by understanding their needs and expectations.
