Job overview

To manage the office administration for a range of clinical teams including outpatient services within peripheral community hospitals including medical secretarial correspondence. To act as the first point of contact for communications between patients, visitors and health professionals (both internal / external). To be responsible for managing the maintenance and fabric of the building and liaising with suppliers, traders and support services to the building and acting as the named intermediary with Estates and Emergency Services as required.

The St. Barnabas Hospital Team comprises of multidisciplinary clinicians and support staff who will deliver care to patients. It will also be necessary occasionally to give clerical support to visiting clinicians.

This post will frequently demand working alone within the main office of the Hospital. The post is 19 hours per week supporting the hospital to provide administrative cover Monday and Tuesday 9.00 to 17.00 and Wednesday 09.00 to 13.00,. On occasion there may be a requirement for the postholder to be flexible at times to cover sickness or annual leave of jobs share colleague.

Main duties of the job

The post holder will work flexibly across all areas of hospital admin routinely at the needs of the service. Priorities may change throughout the day and ability to adapt and enjoy variety is key.

The role encompasses managing the main reception, prepping for clinics, typing for clinics (both in house and ENT and Vascular clinics) and managing the site outpatient clinic rooms and schedules. Additional areas include managing other room bookings, liaising with estates contractors and site estates admin duties, petty cash and ordering stationery as directed. Small level of filing in maintaining hospital folders relating to security/fire/health and safety and COSHH as directed by the Business Support Supervisor in conjunction with the Matron.

The ability to prioritise, use own initiative and seek support as needed is essential together with team working as this forms part of a job share. Ability to remain calm and present an understanding approach at all times, along with excellent communication skills, interpersonal and organisational skills. There is an element of lone working and therefore the successful candidate will have a proven track record of prioritisation of own workloads and using initiative. Previous experience of working in a hospital setting would be advantageous as would knowledge/access to systems such as IPM (Derriford) and PAS, although training would be provided in all patient administration systems needed.

Essential criteria

Experience

  • Previous experience in a healthcare office environment
