The Post


The Student Systems and Data Officer - Curriculum post is part of Academic Registry and sits within the Student Systems and Data area of the team which is responsible for ongoing maintenance and continued enhancement of the University’s student and curriculum systems and the management of statutory data sharing and reporting, including student returns to HESA.

The post contributes across the activity of the Student Systems and Data area but takes a key role in supporting the curriculum systems infrastructure and its integration, development and enhancement including touch points with the student and applicant management system, to ensure effective operation in line with specified policy and procedure, data quality, and ongoing enhancement. The post has a core focus on the holistic support of the student and curriculum systems infrastructure, the work being undertaken to manage and develop data quality and presentation within the student and curriculum systems, and the ongoing development of integrations from the curriculum system and the testing of these integrations.

Working within the team on system maintenance and enhancements and in monitoring and maintaining the quality of data in the systems and for ensuring that our systems and data comply with statutory, data retention and governance policies requires the post holder to continually develop an expert knowledge of the student systems managed by the team, how they support the associated business processes and how they integrate to other University systems.

The post holder also contributes to the achievement of Academic Registry objectives, and the team’s ongoing collaboration with the University’s Faculties and Professional Services Directorates to achieve institutional objectives.


Description of Duties

  • Support the University’s Curriculum Management System in terms of system administration and enhancement, data quality management, data reporting dashboards and user support
  • Undertake systematic and data integrity testing to identify gaps in the integrations between systems and escalating such gaps or where necessary, managing the update of the data in systems as required
  • Work collaboratively with colleagues in Academic Registry, Faculties and other professional service areas that contribute to the University’s curriculum development and management, to facilitate support and data integrity of curriculum information in the systems infrastructure
  • Provide end-user systems support and troubleshooting including by contributing to managing the student systems support mailboxes and service desk resolution within service level agreements
  • Manage requests for the set up and removal of user permissions across systems to ensure users have the appropriate level of access created
  • Provide day to day support and training to users of the student management systems and independently respond to day-to-day user support needs
  • Manage and coordinate the delivery of services in relation to the syllabus and verification request processes with other team members within agreed timescales and in accordance with University policy and regulation
  • Assist with the preparation of annual admissions cycle programme entry points and course structures within the student and applicant management system
  • Contribute to the ongoing development of business processes, procedures and working practices within the team to support continuous improvement and optimum efficiency
  • Carry out regular checks on data integrity and infrastructure, under minimal supervision, to ensure data held across a number of interconnected systems is maintained to a consistently high quality level, working with key professional service colleagues to rectify any problems or to target appropriate user training and support
  • Support the maintenance and update of the Academic Registry SharePoint site, in line with the agreed structure and change management approach
  • Maintain a clear understanding of regulatory compliance frameworks and policies across the student journey within the University, the policies and procedures that underpin this, and the role of Academic Registry in the delivery of an excellent student experience
  • Assist in the import of bulk data to the student management system using prepared data sources
  • Act as a consistently professional and solution-focused ambassador for Academic Registry as a whole
  • Contribute to planning and development, and contribute to a culture of continuous improvement within the Academic Registry team
  • Undertake any other duties as appropriate to the nature and grade of the post, and as may be required, as directed by the Curriculum Systems Manager, or Head of Student Systems and Data, or Academic Registrar

Essential Criteria
  • Educated to HND level or equivalent or substantial relevent experience in roles in student administration or a data reporting or systems support role
  • Experience of working successfully in the area of student administration within an HE or FE environment
  • Experience of working successfully within complex regulations / frameworks, and of providing guidance to others on such regulations/frameworks
  • Proven ability to resolve problems with expediency, intelligence and sensitivity
  • Good numerical skills and ability to interpret complex management information
  • Highly organised with the ability to work with strong attention to detail, accuracy, within specified deadlines and with a high-volume and complex workload
  • Excellent skills in communicating effectively at all levels both orally and in writing, with the ability to communicate using a range of styles appropriate to different individuals, groups and situations
  • Experience of identifying and making improvements to existing processes and procedure. Identifying the requirement for, and development of, new processes and procedures
  • Ability to work independently and with initiative but to also operate successfully in team and wider collaborative contexts
  • A strong commitment to operational excellence, customer care and the student experience
  • IT skills, including proficiency in the use of the Microsoft Office suite

Desirable Criteria
  • Operational knowledge of use of student databases or similar large databases
  • Experience of operating or managing curriculum data and processes
  • Experience of the SITS student record system
  • Experience of curriculum infrastructure and systems
