ABOUT THE POSITION:

Department Application Specialist responsibilities include installing, configuring, diagnosing, and troubleshooting complex specialized computer software applications and related hardware that are critical to the mission of a specific department or division.

This recruitment is being conducted to fill a current vacancy in the Recreation and Parks Department. The eligible list resulting from this recruitment will be used to fill future vacancies in other City departments.

THE CURRENT VACANCY:
WORKING FOR PARKS & RECREATION - CREATING COMMUNITY

In the Recreation and Parks Department, the Department Application Specialist will configure, maintain and support Xplore Recreation (formerly Perfect Mind), the City's enterprise recreation management system. Xplor Recreation manages all recreation-related financial transactions, merchant banking, customer accounts, rentals and reservations in facilities and parks, activity bookings, and integrates with City-wide financial systems. The DAS will also support a variety of recreation Software as a Service (SaaS) systems utilized by the Department and participate in strategic discussions of information technology within Recreation.

The successful candidate for this position will have previous experience with customer-facing software used to manage registrations and facilities. In addition, the successful candidate will:

Examples of Duties and Responsibilities

  • Install, configure, update, and maintain specialized department software and related hardware
  • Analyze and/or resolve hardware, software, and application problems as required to ensure the continued use of a specialized departmental application
  • Monitor computer systems, networks, and applications for response time, problem prevention, performance and resource utilization
  • Coordinate the resolution of network hardware, software and application problems between City and Departmental technical, support and customer personnel
  • Create reports, perform queries, and validate data
  • Modify data fields in specialized software to meet department information needs
  • Create technical documents and computer training materials, and train users in use of the specialized department software
  • Identify problems, and consult with vendor support to request technical solutions to specific user needs
  • Research, recommend and implement solutions to more effectively utilize specialized department software and hardware to accomplish department goals or improve department efficiency
  • Perform physical inventories of equipment and supplies

Required Qualifications

Knowledge of:Working knowledge of hardware, software, networking and organizational systems necessary to maintain and administer relevant software and related hardware; principles and practices of customer service; principles and practices of data management, recordkeeping and reporting; working knowledge of departmental goals, programs, procedures and priorities which are supported or enhanced by the software.

Ability to: Communicate clearly and tactfully on the telephone, in person or a class room; understand and carry out oral and written instructions; analyze data, work methods and procedures; analyze, diagnose and resolve customer problems; operate computer master console and other help desk equipment; prepare and present written and oral reports; organize and manage multiple priorities; learn to write application scripts, system utilities and the methods and techniques of using a variety of hardware and software products to meet department needs.
Experience and Education: Any combination equivalent to experience and education that could likely provide the required knowledge and abilities would be qualifying. A typical way to obtain the knowledge and abilities would be: Experience - Sufficient years of increasingly responsible experience providing administration of and/or technical support to users of a specialized computer software application to demonstrate possession of the knowledge and abilities listed above. Experience in an environment similar to that of the assigned department is desirable. Education - Completion of high school, preferably supplemented by significant college-level course work in computer science or a closely related field.

License and Certificate:
This classification may require the use of a vehicle while conducting City business and the ability to perform work at various locations. Individuals must be physically capable of operating a motor vehicle safely and possess a valid, Class C, California Drivers License, or be able to demonstrate the ability to travel on scheduled or unscheduled visits to various City facilities or work locations which may or may not be reachable by public transportation.

Additional Information

Physical Requirements and Working Conditions: Generally, work is performed in an indoor office setting, typically at a desk, sitting for extended periods of time with the ability to move about at will. Standard office equipment, a computer and a variety of office software is used to enter and retrieve data and produce reports and presentation materials, and requires continuous or repetitive arm-hand movements. Job-related material is learned through oral and/or written instruction in an on-the-job setting, structured classroom training, and by reading and comprehending written material and graphic instructions and making inferences from the contents. Verbal communication includes giving instructions, providing information and responding to questions and may be conducted face to face, on the telephone, and in group meetings. Incumbents perform a visual scan of on-screen information when monitoring operation of applications and systems and correcting minor errors, and processing application upgrades. Incumbents may lift and move monitors, printers, and other equipment weighing up to 50 pounds for short distances.
