We are currently looking for a Colleague and Client Services Assistant to join our Plymouth office on a permanent basis; this is a great opportunity to support the core business in delivering premier legal services in one of the UK's fastest growing law firms. In this role you will support the Site Manager in providing an efficient, flexible, and effective front and back-office support service to both internal and external clients.
As a Colleague and Client Services Assistant your workdays will be full of variety. You will ensure our client experience runs smoothly by supporting with reception duties, events, and greeting internal and external clients, and you will also provide a professional service within the daily operations of the firm; processing mail, photocopying, and liaising with Contractors, and supporting with Switchboard and Records cover as required. You will offer a flexible approach to working arrangements (working as part of a rota system) and will be part of a busy, friendly team in a fast-paced environment.
Due to the nature of the role, we will require you to be office based each day. The hours are 36.25 per week, working on a rota system between 08:00 – 18.00 Monday to Friday with occasional extended hours of work during busy periods.
What you'll be doing:
- Processing incoming/outgoing mail, photocopying, scanning, and document destruction.
- Document production – binding, laminating, paginating.
- Handling cheques and monies on behalf of lawyers.
- Stock control for stationery, toners, and IT consumables.
- Maintaining the internal and external office appearance through basic office maintenance.
- Liaising with Engineers and Contractors.
- Ensuring workplace meets with health & safety compliance procedures.
- Arrangement of conference facilities including audio visual equipment.
- Serving refreshments and food to internal and external clients.
- Provision of Reception and Events cover.
- Answering queries and retrieval of files from records archive.
- Moving physical files in and out of storage.
- Amending the database to show that files, deeds, wills have been returned to Records by fee earners/LSAs.
- Working as part of a friendly, passionate, and collaborative team.
What we're looking for

- Experience working in a customer facing role (reception, hospitality).
- Outwards presentation of a professional/corporate and positive 'can do' attitude and image, exhibiting passion and pride in your work.
- Excellent interpersonal and written/verbal communication skills to deal with a range of people internal and external to the business.
- Excellent IT literacy and experience.
- Knowledge of Health and Safety legislation and quality standards including COSHH is desirable.
- The ability to understand and work in accordance with the Firm's policies and procedures.
- The ability to deal with a variety of tasks working flexibly within a friendly and collaborative team.
