Job Description
We are looking for an enthusiastic and organised admin assistant to help with the general office duties within the Clinical Coding department.
The successful candidate will have excellent communication skills, together with proven clerical ability. The ability to work under pressure while remaining calm, polite and respectful is essential.
You will need good keyboard and computer skills. You will be used to filing, photocopying, main duty will be providing clerical support to the clinical coding team by ensuring 100% of case notes are available for coding.
Please note we may have the scope to offer this role worked across 4 days - this can be discussed at interview stage.
This is a fixed term post for 12 months. Internal applicants currently employed by ESNEFT will be offered on a secondment basis only.
- To provide clerical support to the clinical coding team by ensuring 100% of case notes are available for coding.
- To produce lists and chase missing case notes.
- To collect notes from the wards and other departments. To book notes in and out of the department on the PAS case note-tracking system.
- To answer telephone queries and look for notes awaiting coding within the department

- Producing and maintaining lists of uncoded episodes from the PAS system, to enable the coders to code from the notes onto the system.
- Ensuring 100% of notes are located to meet the monthly coding deadlines, by producing uncoded lists and tracking the notes to their last location.
- Chasing and locating case notes by telephone and via the PAS case note[1]tracking system, both internally and externally.
- Receiving and collecting case notes from wards/departments and checking these off against uncoded lists.
- Booking case notes in and out on the case note tracking system on PAS to ensure that all notes have a last tracking location.
- Filing and photocopying documents as required.
- Answering telephone queries and locating notes within the department.
- To provide administration assistance to Head of Clinical Coding.
- To work within Health Records Department as deemed necessary.
