Purpose of Position
You are expected to provide PA support to 3 Partners and light touch diary and travel management for 5 Relationship Managers within the Investor Relations Team. You will work closely with the Investor Relations Team Assistant to ensure appropriate cover at all times.
In addition, you will be a member of the central Administrative Team, and you will liaise with Administrators in Pantheon's San Francisco, New York, Hong Kong, Tokyo, Seoul, Bogota and Dublin offices to ensure coordination of meetings, conference calls and travel schedules.

Key Responsibilities
- Complex diary management, working with multiple diaries in multiple timezones ensuring planning of trips and roadshows well in advance
- Booking and coordinating domestic and international travel, to include transportation, visas and accommodation in line with Pantheon's Travel Policy
- Booking and coordinating events, to include breakfasts, lunches, dinners as well as conferences and accurate record keeping of conferences the Head of Global Investor Services has attended
- CRM maintenance and data entry for the Head of Global Investor Services
- Processing Expenses - reconciling complex multi- currency expenses using automated systems (Concur). Complying with the firm's expense policy
- Communication - Prompt & confidential liaison between Pantheon and its associates, representatives and business interests. First class diplomatic telephone manner for screening and handling all telephone calls and e-mails both internal and external
- Creation of documentation for meetings using a variety of software packages to advanced levels (Outlook, Word, Excel, and PowerPoint) - effective filing
- General support & project management such as:
- Providing support for the team's weekly meetings (producing the agenda, compiling documentation, noting prioritisation and minute taking)
- Assist as required, other Administrator's / Team Assistants who are either absent or have a heavy workload
- Ensuring that the Partners deadlines are met
- Taking calls and messages as appropriate
- Organising team offsites and team lunches (taking notes during offsite meetings)
- Identifying continuous improvements to processes and systems the team uses
- Adhoc administrative duties to include printing of documents, binding, filing
This is not a client-facing role except for covering telephone calls, taking messages, and arranging meetings
Knowledge and Experience Required
- Excellent secretarial and very strong organisational skills – accuracy & numeracy
- Advanced knowledge of Windows 2010, emphasis on Word, Outlook & Excel. Excellent standards of spelling and grammar
- Substantial prior PA experience in a corporate environment
- Adaptable, proactive, able, and happy to work as part of a team
- Confidentiality & discretion paramount
- Professional, committed attitude and approach
- Effective professional communication skills & telephone manner, good at building strong relationships with minimal face-to-face contact
- Be forward thinking with the ability to prioritize and multitask
- Experience of providing administrative support to a busy team is essential, preferably within the financial services or consulting industry
- Languages is a benefit but not a requirement
