Principal Purpose of Post
The principal responsibility of the post is to support the effective delivery of MAC’s Creative Learning services.
To support MAC’s Head of Creative Learning providing administrative support to MAC’s Learning and Participation programmes, which may include research and liaison with schools, community organisations, local authority departments, artists, and arts organisations.
Key Responsibilities
Working closely with the Head of Creative Learning
Supporting the Learning & Participation team of Artist Tutors and Life Models including booking workshops and inputting details on the Yesplan room booking and Spektrix ticketing systems.-
Proof reading, writing and editing course descriptions, collating information for Marketing and liaising with Artist Tutors on project delivery.

Organising reports and data views using Yesplan and Spektrix to support Head of Creative Learning.

Assistance with Artist Tutor and Life Model recruitment.

Organising Artist Tutor and Life Model inductions.

Booking course resources and liaising with MAC’s technical teams.

Co-ordinating course evaluation, course registers and other quality control processes.

Assist the Head of Creative Learning with co-ordinating Made at Mac exhibitions.

Maintaining and updating information for MAC’s three-term and short course programmes.

Handling course cancellations and subsequent rescheduling (where appropriate), ensuring all relevant persons are informed and software systems updated.

Assist with timesheet checking and payroll enquiries of Artist Tutor and Life Model timesheet hours.

Monitor and maintain records of Safeguarding data for course participants and co-ordinate completion of All About Me forms.

Booking catering for courses and holiday additional childcare.

Assisting in the co-ordination of a range of Creative Learning and related events.

Organising online course delivery, setting up and administering zoom or teams’ licences and assisting tutors with technical support during sessions (which may be out of office hours).

Assist with devising and implementing work rotas for life models.

Organising end of term showcases.

Assist Head of Creative Learning with cost control monitoring and invoice management.
General Duties
Ensure that all telephone and email enquiries are dealt with professionally, promptly, and appropriately.-
Arrange meetings within MAC and with external partners for specific projects/events/activities.

Scanning and filing documents and updating digital archive.

Data entry and collation of statistical information.

Maintain confidentiality in accordance with the General Data Protection Regulations (GDPR).

Use software packages such as Microsoft Word, Outlook, Excel, etc. to produce correspondence, documents, and spreadsheets.

Undertaking research where necessary.

Any other duties as reasonably required.

Essential
12 months’ previous experience in a similar role (paid or voluntary).-
Educated to A Level standard or equivalent, with GCSE (or equivalent) Maths and English.

A good level of organisational, administrative and IT skills and clear ability to prioritise work.

Attention to detail and accuracy.

Have good written and oral communication in acting as a positive advocate for MAC’s work.

Demonstrate an enthusiasm for working collaboratively with others both within a small team and across the organisation.
