Executive Assistant to Executive Director of Service Delivery & Director of Operations
Salary: £32,000 per annum

MAIN PURPOSE
To provide high-level executive and administrative support to the Director, his/her direct reports, and the operational managers, in the execution of the business of the function.
MAIN TASKS AND RESPONSIBILITIES
1. Acting as the first point of contact to the Director’s office both internally and externally.
2. To manage, coordinate and administer all systems, processes responsibilities of the Service Delivery Team, including other Directors and the Regional Managers and others as appropriate (e.g., Clinical Lead)
3. Line management responsibility of the Operations Administrative Assistant and the Employee Scheduling and Management Information Officer.
4. Ability to anticipate the Director's needs, act accordingly, and proactively to bring together appropriate people and resources to support the Director and their direct reports in addressing issues.
5. Work closely and effectively with the Director and the Service Delivery Management Team to keep him/her well informed.
6. Responsible for the organisation, coordination and follow-up of electronic and paper files/ records/documents and retrieval of documentation of the Director’s agenda as assigned by the Director.
7. Ensure the Employee Scheduling and Management Information Officer provides lead support on the Employee Scheduling System throughout the Trust
8. Oversee the Community Services Business Support team to ensure an efficient and effective service to the Community Services Area Managers.
9. To assume the role of the Clerk to appropriate Boards, liaising with the relevant Chair and taking responsibility for the planning, scheduling, coordinating, preparing agendas, minute taking at Board meetings.
10. Produce notes, standard and ad hoc reports, letters, presentations to deadline and agreed standards.
11. Manage the schedule of the Director through the development and maintenance of a system that alerts the Director to upcoming deadlines.
PERSONAL DEVELOPMENT, SUPERVISION AND TRAINING
- Participate in regular support and supervision as required.
- Attend and participate in regular team and other meetings, both internal and external.
- Attend and participate in all relevant conferences and events as requested/approved by the Director.

- The post holder will be expected, always, to be familiar and comply with the written policies, procedures and guidelines for good practice, issued by The Disabilities Trust
- Ensure the Health & Safety policy and procedures are always adhered to.
- Take personal responsibility for own health and safety and report incidents and potential hazards as necessary.
