Job Description
Encocam engineering are recruiting a Sales Administrator/Receptionist to support the Sales Teams and undertake Receptionist Duties at our new Head Office in Alconbury Weald, Huntingdon, Cambridgeshire.
We manufacture aluminium honeycomb that is used in both composite panels and crash test barriers. Our other production site, makes Crash Test Dummies (also known as ATDs) and Leg Impactors (aPLIs).
To provide efficient administrative support to the Encocam Group to ensure that customer needs are satisfactorily met.
Key Tasks and responsibilities:-
· Work with Business Development Managers to achieve the sales targets and support the development and maintenance of customer base and market share.
This involves proactive and effective coordination of enquiries, quotes with strong coordinating with production to achieve on time delivery to the required standards/ quality.
· This includes:
o Effectively dealing with all sales enquires (e.g. phone, e-mails, websites) with appropriate follow-up using the IT systems to ensure record keeping is up to date
o Support the timely production of quotations, ensuring all relevant information is included and using technical product understanding to ensure all aspects are taken into account.
o Process orders using the ERP system, liaising with the Accounts department re payment terms and Production and Despatch departments re delivery dates.
o Ensure the administration of customer complaints in a timely and proactive manner.
o Arrange credit notes with the Accounts department as required.
o Signing up for and maintaining customer online portals and being point of contact for assistance with the use of them.
o Assist in the development and improvement of sales literature, datasheets and website information.
o Undertake research as and when required.
o The provision of general sales admin support, incoming Reception Calls and transferring/arranging call backs/taking messages for the business and organising incoming and outgoing post via Royal Mail, etc.
o Ensure sales archiving is undertaken on a timely basis.
o Providing reports for relevant data including sales/invoice/export figures
o Arrange and cater for customer visits.
o Assist in arranging exhibitions including colleague travel and accommodation requirements and the transport of goods for events in an effective and timely manner.
o Receptionist duties dealing with both customers and internal staff. Keeping visitor records up to date.
You will be a confident administrator with good, solid computer skills and the ability to liaise with different colleagues. You will quickly learn the relevant systems for the job (MRP / ERP / PPM).
