Full Job Description
A busy Medical Clinic in West London Ealing, is looking for an administrative assistant to work 5 days a week from the clinic in Ealing Common. Newly opened clinic. Hence the roles isn’t fully defined, will evolve over time. Due to new services being offered.
Ideal candidate will pose variety of skills and willing to adapt to the changing needs of the business, self-motivated individual. Receptionist’s duties include offering a wide range of administrative support to the doctor. And able to innovate new ways for working in order to streamline current process.
Welcoming guests and greet people. You will be highly approachable, maintain a pleasant personality and deliver high levels of customer service, Due to the customer facing aspect, ideal role for an enthusiastic, outgoing and efficient team player. In exchange we offer a relaxed working environment, and some flexibility to working hours.

Essential Experience & Skills:
- Able to demonstrate strong administrative skills.
- Strong proven IT administration skills, navigating through various IT platforms to complete admin tasks.
- Excellent written English
- Excellent telephone manner
- Excellent attention to detail
- Proven experience in various social media campaigns and posting content.
- Education: Ideally a IT degree or background, administration systems to manage the clinic are very IT heavy, hence someone who is confident with IT systems would at an advantage.
Duties:
-Receive patients, book them in ready for doctor consultation.
-Navigating the management and diary software.
· Typing dictated letters and creating treatment protocols from dictation.
· Maintaining patient confidentiality with reports and encryption.
· Telephone daily enquiries and responding to voice messages.
· Daily email management.
· Appointment bookings and management of diary.
· Maintain patient records.
· Manually sending patient documents, forms and reminders and filling diary.
· Managing Dropbox.
· GP referral letters.
· Downloading lab results from lab portals online.
· Using excel to trend biomarkers, to create graphs.
· Binding documents together using Adobe and sending encrypted.
· Ordering lab equipment and arranging couriers.
· Ordering lab kits direct to patients.
· Organizing repeat and acute prescriptions, and sending medication using couriers.
Manning reception when required.
Skills required:
· Fluency in Windows based software such as Excel, Word and Adobe.
- Highly effective communication skills demonstrating ability to communicate effectively face to face, over the telephone and in writing with a wide range of people.
- Due to the medical nature of the job, ideally looking for a candidate that takes personal pride in delivering high quality work.
- Ability to work accurately and methodically within an agreed work programme, adhering to priorities and timetables.
- Ability to adapt to changing demands and initiatives within the office environment.
- Experience of using online booking systems
· Creation of forms using our in-house system.
· Prioritising email response, will require excellent written response.
· Escalating clinical queries to the appropriate doctor as necessary.
· Keeping patients informed with updates to clinic policies and pricing.
· Taking payments and light accounts: Using specialised medical and billing software and to do end of day accounts.
· Administrative experience essential.
· Requires excellent written skills.
· Excellent telephone manner to help the doctor deliver the best possible experience through their consultations with patients.
· Highly organised, methodical and efficient with an eye for detail.
· Diplomacy, gravitas and a calm sense of assurance, particularly under pressure.
· Experience in medical administrative work preferred but not essential.
· Pay: £15 per hour on self-employed contract.
·Allocated annual leave to shadow doctor’s leave, usually school holidays. To be discussed depending on duties covered, experience and availability.
