Job Description
The post holder will support the performance of the Service User Involvement and Volunteering Services office function.
To provide full administration support to the Assistant Director of Involve and the Involve team with all operational processes. T
o have an up-to-date knowledge of the Trust network systems, including e-mail, intranet, and electronic diary.
- To support the diary management function for the Involve team
- To assist in organizing events and training for Involvement members
- To ensure the Involvement Register is updated and efficiently and effectively
- To deal with any involvement enquiries in a timely manner
- To support the minute taking function at team and group meetings
- To assist and support the Patient and Public Involvement Leads in organizing meetings and room bookings
- To monitor the Involve generic inbox in the absence of the Project Lead
- To liaise with Service User and Carer panellists when assigning activities

- To liaise with the finance team regarding any claims queries
- To communicate effectively with staff and external stakeholders
- To support the Project lead in updating the Better Impact systems with all volunteer details
- To liaise with the recruitment team, ensuring a smooth recruitment process of volunteers and Involvement members
- To participate in training and development opportunities
- To collate and produce data when required for events and meetings
- Ensure up to date knowledge of use of office equipment, effective administrative systems and technology that may improve personal skills and effectiveness of service
- To exercise judgement when dealing with enquiries and to handle complaints in line with local policies and procedures and to escalate appropriately if they cannot be resolved at the local level
- To ensure confidentiality is always exercised and personal information is stored appropriately.
- To ensure that all correspondence is formatted to the Trust’s standard.
- Any other duties appropriate to the role and level that may be required from time to time
