Location - You can be based out of any of our Store Support Centre's - Holborn, Coventry or Manchester & work from home.
As a Contract Administrator you will provide support to a number of Contract Managers for administrative functions ensuring timely and accurate prioritisation of tasks. You will be responsible for the efficient flow of information between the Contract Managers, the Strategy and National contracts manager and their teams. This includes providing a range of administrative, analytical, and organisational tasks based upon corporate priorities and agreed with each team supported.
You’ll need to understand the objectives of the areas overseen by the Facilities Management (FM) team and be able to engage and influence cross functionally and externally to ensure priorities are delivered. To be successful in the role you’ll need excellent computer skills, including MS Office, have a proven ability to organise and prioritise work for multiple stakeholders and work on own initiative with confidence, as well as a high level of integrity and confidentiality at all times.

- Upload and prioritise information documentation through the creation of daily folders within One Note (or other) to reflect the Contract Management and strategy governance.
- Arrange and coordinate meetings, steering groups and forums in relation to the governance and terms of reference meetings as well as providing secretarial minute taking.
- Prepare and provide; presentations, documents and reports, for the FM team as appropriate, working with only general direction of content.
- Summarise contracts and performance documents to ensure information is clear and concise.
- Administer and own the information in project tracking documents in relation to the cost base reduction programme.
- Oversee the end-to-end reporting of contractual payments of FM suppliers ensuring the correct payments are made in line with contractual agreements.
- Raise adhoc SSP orders for FM suppliers where orders cannot be generated through the CAFM system.
- Offer assistance to the wider team in relation to specific projects and provide other administrative support and tasks as requested.

- Proven experience of simplifying processes for multiple stakeholders
- An understanding of commercial and commercial supply
- Able to influence and challenge with the ability to engage stakeholders at all levels within and external to the business
- Organised, self-motivated and strong attention to detail with ability to balance conflicting priorities in a fast-paced environment, with the internal customer in mind
